As our Operations Manager, you will ensure that our systems, finances, facility operations, and development processes run with excellence — enabling our team to maximize student-facing impact.

The Operations Manager is a key partner to the Executive Director, managing organizational systems, donor data, financial processes, HR coordination, board support, and facility operations. This role is ideal for a highly organized, detail-oriented professional who enjoys building and maintaining strong internal structures, improving workflows, and supporting a mission-driven team. You will also supervise a small team of student interns who support finance and operations.

What You’ll Do

Administration & Systems

  • Create, improve, and maintain organizational systems, documentation, workflow tools, and shared drives.
  • In partnership with the ED, create and manage organizational policies, compliance documents, internal manuals, and operational communications.
  • Support staff technology needs and coordinate with vendors.
  • Maintain contracts, insurance records, and administrative files.
  • Support the Executive Director with Board of Directors materials, agendas, and governance documentation.

Development Operations

  • Oversee Little Green Light donor database, ensuring accurate entry, tracking, and reporting.
  • Process gifts, acknowledgments, and donor stewardship communications.
  • Support preparation of donor lists, materials, and development-related event logistics.
  • Produce monthly development reports for the ED and Board Development Committee.

Financial Management & Reporting

  • Prepare monthly financial reports for the ED and Board Treasurer.
  • Manage expense reconciliation, reimbursements, QuickBooks coding, and vendor invoices.
  • Maintain accurate financial records in partnership with the ED.
  • Serve as point person for annual audit preparation and required financial documentation.
  • Support annual budgeting processes.

Facility Management & Operations

  • Oversee building maintenance, repairs, upgrades, and vendor relationships (cleaning, security, maintenance).
  • Ensure the facility is safe, functional, welcoming, and well-maintained.
  • Manage rental processes for students, campus partners, and community users.

Human Resources Support

  • Manage employee benefits administration and HR documentation.
  • Update and maintain the employee handbook and internal policies.
  • Support hiring processes, job postings, onboarding, and scheduling coordination.

Supervision of Student Interns

  • Supervise finance and operations student interns.
  • Assign tasks, manage schedules, and guide performance.
  • Train interns in systems, data accuracy, confidentiality, and workflow processes.

What You’ll Bring To The Role

  • Exceptional organizational skills and strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • A systems-driven mindset and interest in improving processes.
  • Strong written and verbal communication skills.
  • Discretion, professionalism, and ability to handle sensitive information.
  • A collaborative spirit and desire to support a team advancing Jewish life on campus.

What You’ve Accomplished

  • 2–4 years of professional experience in nonprofit operations, administration, HR, finance, or related fields. Bachelor’s degree required.
  • Experience with CRM/databases (Little Green Light preferred) and financial systems (QuickBooks preferred).
  • Experience managing interns, volunteers, or project teams.
  • Experience overseeing administrative workflows, systems, or project management.
  • Comfort working in a mission-driven, Jewish, or campus environment.

What You’ll Receive

  • Competitive nonprofit salary of $60,000–$62,000.
  • Comprehensive benefits package including health insurance, retirement contributions, generous PTO, parental leave, and professional development support.
  • A welcoming and supportive team culture.
  • Opportunities for national conference travel (1–2 times per year).
