This role plays a critical part in positioning the company for success by translating technical information into clear, visually engaging, and persuasive content. The Proposal Coordinator will manage multiple deadlines, collaborate across departments, and ensure all deliverables align with brand standards and client expectations. The ideal candidate brings both strong writing/editing skills and a keen eye for design, with proven experience using Adobe InDesign and related proposal development tools in a fast-paced construction environment.

We are seeking a detail-oriented and highly organized Proposal Coordinator to support our business development and preconstruction teams in the preparation of compelling, high-quality proposals and qualifications packages. The Proposal Coordinator will manage multiple deadlines, collaborate across departments, and ensure all deliverables align with brand standards and client expectations. Key Responsibilities
- Assist with the end-to-end proposal development process, including RFQs, RFPs, and interview presentations, from initial kickoff through final submission
- Develop proposal schedules, assign responsibilities, and track progress to ensure all deadlines are met without compromising quality
- Collaborate with business development, estimating, project management, and executive teams to gather technical content and translate it into client-focused messaging
- Design, format, and produce visually compelling proposal documents using Adobe InDesign and other proposal software, ensuring consistency with company branding
- Customize proposal content to align with specific client requirements, evaluation criteria, and project goals
- Maintain and continuously improve proposal content libraries, including resumes, project profiles, boilerplate language, and graphics
- Ensure all proposals are fully compliant with client instructions, including formatting, documentation, and submission requirements (digital and hard copy)
- Edit and proofread all materials for clarity, grammar, accuracy, and consistency in tone and messaging
- Manage multiple concurrent proposals in a deadline-driven environment while maintaining strong attention to detail
- Support interview preparation efforts, including coordinating logistics, developing presentation materials, and assisting with rehearsal sessions
- Track proposal metrics, maintain records of submissions and outcomes, and support continuous improvement of the proposal process
- Bachelor’s degree in marketing, Communications, Business, or a related field (or equivalent experience)
- 2–5 years of proposal coordination experience, preferably within the construction or AEC industry
- Advanced proficiency in Adobe InDesign (required)
- Experience with additional proposal tools such as Adobe Creative Suite, Microsoft Office (Word, PowerPoint, Excel), and CRM systems
- Strong graphic layout and document formatting skills
- Excellent written and verbal communication skills
- Exceptional attention to detail and organizational abilities
- Ability to work both independently and collaboratively under tight deadlines
- Experience working for a general contractor or within the construction industry
- Familiarity with Dallas-Fort Worth market and public/private procurement processes
- Basic understanding of construction terminology and delivery methods (e.g., CMAR, Design-Build)
