Key Responsibilities
- Draft, format, proofread, and finalize correspondence and routine legal documents at the direction of attorneys
- Prepare document shells and templates for attorney review
- File documents electronically and/or manually in accordance with court rules and firm procedures
- Maintain attorney calendars, including scheduling hearings, depositions, meetings, and deadlines
- Coordinate client meetings and conference calls
- Open, organize, and maintain client files (electronic and physical)
- Maintain case files, pleadings, and supporting documentation
- Monitor deadlines and provide timely reminders to attorneys
- Communicate with clients, courts, vendors, and opposing counsel regarding scheduling and procedural matters
- Process incoming and outgoing mail, including certified and overnight deliveries
- Prepare billing support documentation and assist with time entry as needed
- Maintain strict confidentiality of client and firm information
- Provide general administrative support to attorneys and department staff
- Perform additional duties as assigned
Required Qualifications
- Minimum of three (3) years of legal administrative experience preferred
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
- Strong typing, formatting, and document management skills
- Familiarity with electronic court filing systems preferred
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Active Notary Public commission preferred, but not required
