Position Overview
The Client Service Coordinator (CSC) is the operational backbone of Hill Group Law, ensuring that the daily activities of the firm run efficiently and with excellence. The CSC manages client communication, schedules all meetings, tracks files through each stage of the client journey, and ensures that every message, document, and task is routed to the right team member.
This position requires strong organizational skills, excellent communication abilities, and a proactive mindset. The CSC works closely with the attorney, Director of Operations, and Legal Technical Advisor to ensure the firm’s systems, calendar, and workflow stay on track and clients receive exceptional service.
Key Responsibilities
- Oversee and manage the daily operations of the office.
- Serve as the central point of contact for all client communications, ensuring every inquiry, update, or message reaches the correct team member.
- Schedule all client meetings including workshops, consultations, design meetings, and signings.
- Maintain and manage the firm’s client relationship management system (Actionstep), ensuring accurate and timely data entry.
- Track the progress of client files and ensure that tasks move seamlessly between departments.
- Monitor and update internal checklists to confirm that no step of the client journey is missed.
- Process new client files, engagement agreements, and payment documentation.
- Support team coordination by communicating deadlines, priorities, and upcoming meetings.
- Ensure that the office operates smoothly and represents the firm’s professional image to clients and visitors.
Qualifications
- 2 years of administrative or operational experience (law firm or professional services preferred).
- Exceptional communication and organizational skills.
- Strong attention to detail and ability to multitask effectively.
- Comfortable managing multiple priorities and tight deadlines in a fast-paced environment.
- Proficiency with Microsoft Office; experience with Actionstep CRM or similar systems preferred.
- Positive, professional demeanor and ability to collaborate across departments.
- Full-time, in-office availability in Johnstown, Pennsylvania.
