The Administrative Specialist serves an essential role, providing person-centered, short-term inpatient psychiatric treatment services for people in service at the CSU. The position works with CSU staff and providers, Hill Country MHDD Administrative and support staff, crisis workers, law enforcement, community representatives, individuals in treatment, and families/visitors/vendors.

You will get to:

  • Complete admission demographic and financial assessments per organization policy and procedure for individuals admitted into Crisis Stabilization Unit Services.
  • Verify insurance and complete preauthorization of insurance benefits as needed.
  • Complete, track, and submit various daily, monthly, and quarterly census reports to include average daily census, rapid readmissions, extended lengths of stay, readmissions, and unduplicated counts for the inpatient service. Update and verify the daily census as needed.
  • Assist with the electronic referral process and track admission denials as well as bed limitations by cause.
  • Manage the purchasing process to include vendor logs and purchase orders. Maintain and track program credit card purchases, repair bills, bus tickets, patient and office supplies, and inventory.
  • Provide backup to other administrative support staff as needed, to include answering phones, managing referrals, calling for repairs, managing incoming/outgoing communication, faxing documents, chart audits, and corrections.
  • Use electronic medical records, referral systems, statewide databases, and a purchasing system to complete administrative functions and produce reports for monthly and quarterly reporting.
  • Fax or scan outgoing information and scan incoming documents into the patient's electronic health record.
  • Position requires computer skills, including skills with developing spreadsheets, tracking systems, reports, and the ability to navigate and extract information/data from various computer programs such as the electronic medical record, electronic billing and payments systems, time keeping systems, and referrals.

  • Take necessary actions to preserve the health, safety, and general well-being of the consumers served, co-workers, and the public.
  • Provide prompt, courteous, and friendly services, which are responsive to the desires and preferences of consumers and within the boundaries of acceptable professional practice and judgment.
  • Interact with the public in a manner that promotes good public relations for Hill Country MHDD and public respect and acceptance of individuals with mental health issues.
  • Adhere to Hill Country MHDD policies and procedures of the program or department.
  • Demonstrate understanding and comply with HIPAA laws to ensure the protection of all confidential client information.

You'll definitely need:

  • High School Diploma / GED
  • Two (2) years' experience in duties related to the position. One semester (15 semester hours) of college work may substitute for each six- (6) months of experience.
  • Able to acquire a notary.
  • Maintain a valid Texas state Driver's License and auto insurance.
  • To complete and maintain both CPR certification and Prevention and Management of Aggressive Behavior training within the first 3 months of employment.
  • Able to work a flexible schedule, including evenings and weekends.
  • Bilingual; English/Spanish preferred.
