The Hilb Group is currently seeking a motivated and ambitious Operations Support Specialist to join our team. This position will report to our agency located in Ellsworth, ME. The ideal candidate will be motivated to succeed, is well organized, able to prioritize, and able to work well with a team. This is an in-office position.

- Coordinate onboarding of new employees, including system access setup, credential management, and user provisioning for producers and staff.
- Maintain and update agency contact lists to ensure accuracy and accessibility across departments and Branches
- Provide support with password resets, system access issues, and related technology needs.
- Assist with operations and administrative tasks, including coordinating agency events, supporting internal communications, and managing marketing campaigns.
- Address and assist with accounting-related questions and discrepancies as needed.
- Review and optimize processes and workflows to ensure alignment with Hilb Group procedures and standards.
- Collaborate with PL, CL, and Producers to resolve operational or client-related issues promptly and effectively.
- Manage customer escalations, ensuring timely and satisfactory resolution.
- Train new hires on agency processes and procedures, or coordinate training with appropriate team members.
- Coordinate with IT for setup, troubleshooting, and system-related needs.
- Highschool or college degree
- Exceptional aptitude for customer service
- Must be Licensed
- Ability to thrive in a fast-paced environment.
- Upbeat attitude and strong written, verbal, and organizational skills.
- Excellent time management and problem-solving skills with strong attention to detail and ability to prioritize.
