Position Overview
The Office Manager will oversee the day-to-day administrative operations of the Hightstown office, ensuring smooth workflows, effective communication, and efficient support for both internal teams and external clients. This role is critical in maintaining an organized office environment and supporting leadership, property managers, and accounting staff. The ideal candidate is highly organized, proactive, and customer-service oriented.
Key Responsibilities
- Manage daily office operations to ensure an efficient and productive work environment.
- Supervise administrative staff, providing training, guidance, and performance management.
- Coordinate office schedules, meetings, and communications across departments.
- Oversee office supply inventory, ordering, and vendor relationships.
- Serve as the first point of contact for visitors, tenants, and property owners calling or visiting the office.
- Assist leadership with reports, correspondence, and administrative projects.
- Maintain organized filing systems (digital and paper) for contracts, leases, and owner/tenant records.
- Support HR processes, including onboarding new employees and maintaining personnel files.
- Work closely with accounting to support invoice processing, billing, and reporting needs.
- Ensure compliance with company policies and office procedures.
Qualifications
- Bachelor’s degree in business administration, Management, or related field preferred; equivalent experience accepted.
- 3 years of office management, administrative, or operations experience (property management or real estate industry experience is a plus).
- Strong leadership and organizational skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and comfort with property management/accounting software.
- Strong problem-solving skills and attention to detail.
- Professional, customer-service–oriented demeanor.
