Responsibilities include (but are not limited to):
- Assist in preparing and processing licenses (including but not limited to annual business licenses, music and motion picture licenses, broker licenses), permits, housing applications.
- Distribute and process department incoming and outgoing mail, update tracking and filing systems. Coordinate electronic delivery of documents to regional office(s) and properties as needed.
- Assist in addressing code compliance violations and curing any outstanding liens or
- Process department invoices for payment including processing settlement check requests and distribution.
- Assist in EIN, entity management, maintenance, and assumed name formation, including coordination through our Statutory and Registered Agent, CT Corp.,
- Review and prepare property level service contracts for execution and distribution
- Assists in due diligence, acquisitions and dispositions tasks, as needed
- Cross train on tasks with Transactions Assistant
- Performs general clerical functions such as typing, editing, proofing, filing, making copies and scanning
- Update legal forms as directed by the General Counsel
- Effectively coordinate tasks with multiple corporate departments
- Establishes, maintains and updates electronic filing system – individually and departmentally
- Assist in creation and ongoing maintenance/organization of folders within the Litigation / Subpoena / Bankruptcy folders
Qualifications:
- High school diploma. University degree or some college preferred
- 3 to 5 years professional administrative experience
- Excellent detail orientation with strong organizational, multi-tasking and time management skills
- Intermediate knowledge of MS Office – Outlook, Word, Excel, Power Point, and Adobe Acrobat
- Experience in YARDI software, a plus
- Excellent verbal, written and proofing skills
- Demonstrated initiative and flexibility; ability to work occasional overtime. Proven ability to work collaboratively with a team
