Under the general supervision of the Director of Outreach & Recruitment, the Program Coordinator oversees the daily operations of the college's Info Center/front desk and serves as one of the first points of contact for prospective students, families, and community members. This position plays a key role in managing front desk activities, maintaining a welcoming and informative environment, and ensuring timely and accurate responses to inquiries.
In addition, the Program Coordinator manages the Outreach & Recruitment team’s calendar, tracks events, responds to partner requests, and coordinates scheduling for campus visits and outreach events with K–12 schools and community organizations. The role also includes administrative and purchasing support to ensure the effective delivery of outreach services.
This position requires strong organizational skills, a customer service mindset, and the ability to manage multiple priorities in a fast-paced, student-centered environment.
This is a full-time, classified position, which is eligible for overtime. Occasional evening or weekend hours may be required for outreach events.
This is an on-site position located at the Info Center, with standard hours of 8:00 AM – 4:00 PM.
The College has a summer work schedule (four 10-hour days, Monday through Thursday, typically starting in mid-June).
Salary Information: The salary range stated above reflects the starting step of Range 40 (Step C) and ending step (Step M) salary for this classified position. Based on salary placement of Step C, it will take 5 years to reach Step L on the salary schedule, and 11 years to reach Step M. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future.Reporting to the Director of Outreach & Recruitment, this postilion will:
Info Center Operations & Front Desk
- Oversee day-to-day operations of the Info Center/front desk, ensuring consistent and high-quality service to all visitors;
- Serve as the primary in-person point of contact at the Info Center for inquiries related to admissions, college programs, and campus resources;
- Maintain a clean, welcoming, and organized front desk area with current materials, signage, and referral guides;
- Ensure the Info Center is properly staffed by scheduling student workers with support of the director and providing onboarding and training support;
- Stay current on Highline College programs and services to provide accurate referrals for prospective and current students;
- Support improvement and growth of the Info Center.
- Manage the Outreach & Recruitment team’s shared calendars, including staff availability, meetings, and outreach events;
- Monitor and update Outreach and Recruitment Event tracking sheets;
- Manage Outreach & Recruitment email and requests for outreach & recruitment services;
- Respond to requests from K–12 and community partners for campus visits, classroom presentations, and off-campus events;
- Serve as the main scheduling contact for external and internal stakeholders and coordinate logistics, staffing assignments, and required materials;
- Work closely with the Director to ensure events and team meetings are well scheduled, do not overlap, and maximize the team’s time.
- Maintain accurate records of outreach requests, event participation, and contacts using internal tracking systems or CRM tools;
- Prepare, update, and distribute Info Center materials, FAQs, and referral resources to ensure accuracy and consistency;
- Collaborate with the Outreach & Recruitment team to support the delivery and continuous improvement of outreach services;
- Support feedback collection and process improvement initiatives to enhance Info Center effectiveness;
- Monitor supply needs and manage purchasing for outreach and Info Center (swag and supplies) operations in alignment with college purchasing policies;
- Maintain accurate records of expenses and support budget tracking;
- Use and reconcile a department purchase card and work with vendors and the business office to ensure timely ordering and delivery of materials.
- Communicate effectively (verbal and written), with a customer service focus;
- Use Microsoft Outlook, graphics, statistical spreadsheet and/or database software;
- Demonstrated ability to manage calendars, schedule events, and handle logistics.
- Comfort with shared calendars and task management systems;
- Work some weekends.
- High School completion or equivalent; AND
- Two years of full-time administrative experience with an emphasis on program coordination, data management and customer service.
- Associates degree;
- Ability to communicate effectively in Spanish (verbal and written).
- Experience working in a higher education environment;
- Familiarity with community college enrollment services;
- Experience working with CRM or database systems.
