The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently. Bilingual abilities are a plus, as well as experience with medical office environments. The Front Desk Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendars using Google Workspace tools
- Handle data entry, filing, and document proofreading with high accuracy
- Maintain organized records of patient or client information and correspondence in EHR system (Nextgen/TSI).
- Assist with office management tasks such as supply inventory and mail distribution
- Provide customer support via phone, email, or in person, demonstrating excellent phone etiquette
- Perform clerical duties such as filing, data entry, and maintaining office cleanliness
- Collaborate with providers and staff to keep the office running smoothly
- Schedule appointments and handle front-desk check-ins/check-outs
Requirements
- Proven experience in office management, clerical work, or as a receptionist; medical receptionist experience is a plus
- Strong computer skills with proficiency in Google Workspace, and data entry software
- Excellent organizational skills with the ability to prioritize tasks effectively
- Bilingual abilities are required to assist diverse clientele
- Experience with multi-line phone systems and customer service roles required
- High level of professionalism with strong phone etiquette and customer support skills
- Ability to work independently while managing multiple responsibilities efficiently
- Prior office experience demonstrating organizational skills and time management capabilities
