Responsibilities
Campaign & Ad Scheduling
- Own the ad calendar across assigned shows, keeping insertion orders, scheduling confirmations, and host deliverables moving without gaps
- Coordinate pre-roll, mid-roll, and post-roll scheduling with hosts and producers, staying ahead of deadlines before they become problems
- Track ad read deliverables across external production teams and keep the Managing Producer informed of anything at risk
- Get the right materials — briefs, brand guidelines, talking points — into the right hands before every recording deadline
- Shepherd completed ad reads through internal review, flagging quality or compliance issues early
- Manage re-record requests through to resolution and maintain a clean, organized library of approved assets and past read notes
- Traffic dynamic ad insertions in Art19 and apply targeting parameters per campaign specs
- Support DAI setup and coordination for external production partners
- Monitor daily campaign delivery and surface any pacing issues to the Managing Producer before they compound
- Be a reliable, informed point of contact for external production partners — answering routine questions, routing what needs routing, and escalating with clarity when something needs leadership attention
- Participate in and help set the agenda for regular external check-in calls
- Walk new show partners through onboarding, collecting what's needed and making sure nothing falls through the cracks as a new show gets up and running
- Pull weekly and end-of-campaign performance reports and shape the data into clean, clear recaps ready for partner distribution
- Keep internal dashboards current so the team always has an accurate picture of what's live, what's pending, and what needs attention
- 2 years of experience in podcast, digital media, or advertising operations
- Familiarity with podcast ad workflows, including DAI and host-read campaigns
- Experience with Art19 or a comparable podcast hosting and ad platform
- Strong organizational skills with the ability to juggle multiple active campaigns without losing the thread
- A clear, professional communicator who can hold their own with external partners and distributed teams
- High attention to detail and a natural instinct for knowing what needs to move next
