Position Summary
The Director of Finance and Administration is the senior-most finance leader at HERS. This role provides financial vision, stewardship, and operational excellence in direct alignment with our mission. The Director of Finance balances strategic leadership and hands-on execution — and is responsible for both creating and implementing financial systems, processes, and controls until additional staff capacity is hired. This role partners closely with the President, Leadership Team, Programs Team, and Board to ensure strong financial health, sustainability, and transparency.
Core Areas of Responsibility
1) Strategic Advisory
· Lead organizational financial strategy, annual budgeting, forecasting, long-range planning, and financial scenario modeling.
· Prepare and present financial statements and analyses for the President, Leadership Team, and Board; translate financial data into clear insights and recommendations.
· Ensure compliance with GAAP, IRS nonprofit regulations, audit standards, and grant reporting requirements.
· Lead and manage the annual audit; serve as primary liaison to auditors.
· Maintain and improve internal controls, financial policies, and risk management systems to protect assets and help achieve the organization’s mission.
· Steward financial data in Salesforce to ensure accurate program revenue, donor contributions, and grant tracking.

2) Accounting Operations & Financial Execution
· Own end-to-end accounting functions: general ledger, accounts payable/receivable, payroll oversight, month-end close.
· Manage cash flow, monitor bank accounts, track liquidity, and maintain minimum cash thresholds.
· Process vendor invoices, W-9 collection, vendor set-up (BILL, QuickBooks Online or QBO).
· Monitor physical payments at HERS office and ensure timely entry into Salesforce and QBO.
· Reconcile revenue and transactions (PayPal, online giving, registrations).
· Provide high-quality internal customer service to program staff and external constituents regarding invoices, payments, refunds, credit card declines, and documentation.
3) External & Regulatory Financial Compliance
· Manage insurance renewals, state charitable registrations, tax filings, and other required regulatory submissions.
· Maintain compliance calendars and filing deadlines across all financial obligations.
· Manage investment and banking relationships; maintain appropriate documentation and oversight.
4) Financial Cycles & Cadence Responsibilities
This role owns delivery of the complete financial calendar, including duties above and as follows:
· Weekly — reconcile revenue, convert Salesforce data to QBO, support staff on program budgets and payments.
· Monthly — full month-end close; revenue reconciliation (SF/PayPal/QBO); Bill reconciliation; accruals and prepaid adjustments; budget vs. actual analysis.
· Quarterly — Board financial reporting and metrics support.
· Annually — fiscal year close (Aug 31), audit, 990 preparation, 1099 issuance, annual donor statements, insurance renewals, budget development and presentation to the Board.
Note: The Director of Finance currently performs all the above duties hands-on. As revenue for the organization grows, responsibilities will shift from direct execution of some duties to oversight of staff/vendors.
Qualifications Education
· Bachelor’s degree in Accounting, Finance, or related field
· CPA or MBA preferred but not required
Experience & Capabilities
· At least 7 years of progressive accounting/finance experience; nonprofit experience strongly preferred.
· Advanced proficiency with QuickBooks Online and Excel; experience with BILL and Salesforce or similar platforms preferred.
· Demonstrated success improving processes, building internal controls, and professionalizing systems.
· Strong analytical skills, detail orientation, and the ability to translate numbers into narrative for non-finance audiences.
· Collaborative, mission-driven work style with the ability to operate both strategically and tactically.
