POSITION DESCRIPTION
POSITION TITLE: Building Secretary
REPORTS TO: Building Principal
TERMS OF EMPLOYMENT: 12-month employment with benefits
QUALIFICATIONS:
- High school diploma.
- Experience working in a professional office setting.
- Excellent computer skills, with proficiency in Microsoft Office (Word, Excel, PowerPoint,Publisher, and Outlook), and Google Suite.
- Highly motivated with strong organizational skills; able to coordinate multiple tasks simultaneously.
- Self-starter; able to work independently.
- Strong telephone and interpersonal communication skills.
- Ability to lift 40 lbs. to shoulder height occasionally.
ESSENTAIL JOB FUNCTIONS:
- Register new students and request data on them.
- Withdraw and send student records as necessary.
- Keep record of student and teacher forms.
- Assist in principals’ correspondence.
- Maintain and keep all student records up-to-date, attendance, excuses, state reports, student information cards, progress reports and grades.
- Coordinate opening of school activities, individual student schedules, sub folders, medical and personal information cards, insurance forms, tornado and fire drills.
- Enter data and coordinate scheduling with principal and school counselor.
- Order all office supplies and issue supplies.
- Copy, file, and answer phones in the office.
- Assist teachers with ordering supplies, obtaining information on students and finding proper forms.
- Check in materials and distribute such.
- Check purchase orders and invoices.
- Distribute mail and inter-building correspondence.
- Assist principal with appointments for staff and principal.
- Report any unusual occurrences to the principal.
- Complete required EMIS duties.
- Assist with school counselor concerns (grades, etc.) when the counselor is not in the office (June and August).
- Maintain lost and found.
- Other duties as assign by the building principal.
OTHER JOB FUNCTIONS:
- Maintain confidentiality.
- Attend meetings and training as directed.
- Present and communicate in a professional manner.
- Work additional hours or overtime as directed.
- Other duties as assigned by supervisor.
