Position Summary

The Director of Prepress and Mailing Operations is a senior, hands-on role responsible for executing and overseeing all prepress activities and USPS mailing functions within a high-volume digital print environment. This position focuses on technical accuracy, workflow execution, compliance, and problem-solving rather than personnel management. The Director ensures files are production-ready, mail is USPS-compliant, and complex print-and-mail programs move efficiently from intake through delivery.

Duties and Responsibilities

Prepress Execution & Workflow

  • Prepares, reviews, and releases print-ready files for digital production, including proofing, imposition, and RIP setup.
  • Maintains and applies color standards, profiles, and calibration across digital presses.
  • Troubleshoots complex prepress issues involving fonts, color, transparency, finishing requirements, and file construction.
  • Ensures accurate and timely handoff of files to print, finishing, and mailing operations.
  • Supports automation and workflow tools to improve efficiency and reduce manual touchpoints.

Variable Data & Data-Driven Print

  • Prepares and executes variable data printing (VDP) files for personalized print and mail campaigns.
  • Coordinates with data and production teams to ensure file integrity and correct output across versions.
  • Validates versioning, personalization logic, and production sequencing.

USPS Mailing and Postal Compliance

  • Executes and oversees USPS mailing preparation including presort, postal optimization, and documentation.
  • Ensures all mailpieces meet USPS design, automation, and Move Update requirements.
  • Produces and submits postal documentation such as eDocs, postage statements, and drop ship records.
  • Monitors in-home delivery performance and troubleshoot postal issues.
  • Maintains current knowledge of USPS regulations and mailing best practices.

Quality Control & Process Improvement

  • Performs quality checks to ensure print accuracy, data integrity, and postal compliance.
  • Identifies root causes of errors, reprints, or mailing issues and implement corrective actions.
  • Recommends workflow improvements, automation opportunities, and process enhancements.

Cross-Functional Collaboration

  • Collaborates with sales, production, and fulfillment teams to support complex print-and-mail programs.
  • Provides technical guidance during estimating, job planning, and client onboarding.
  • Supports new equipment, software implementations, and service enhancements.

Position Qualifications

  • Bachelors degree preferred.
  • 8 years of hands-on prepress experience in a digital print environment preferred.

Knowledge, Skills, and Abilities

  • Strong expertise in variable data printing and file preparation
  • In-depth knowledge of USPS mailing regulations, presort, and postal documentation
  • Proficiency with Adobe Creative Suite, RIP software, and USPS-certified mailing platforms
  • Exceptional attention to detail, organization, and problem-solving skills.
  • Knowledge of Adobe Creative Cloud (Photoshop, InDesign, Illustrator, and Acrobat).
  • Experience with Variable Data Software (XMPie, FusionPro, DesignMerge, and PSL-Jet Letter)
  • Postal Software (BCC Mail Manager, Accuzip, USPS PostalOne)
  • Familiarity with Extensis Connect or Suitcase
  • Experience with RIP-DFEs (Fiery Command Workstation, Canon PRISM Async, Xeikon X-800 Workflow).

Pay: $90,000.00 - $110,000.00 per year
