The Call Center Patient Registration Coordinator (CPRC) is responsible for handling incoming calls, assisting patients with scheduling, and providing timely and professional communication. This role ensures a smooth patient intake experience while maintaining accurate documentation and adherence to organizational standards. The CPRC works closely with the Call Center Director and other administrative departments to deliver excellent patient service and support overall clinic operations.
Essential Duties and Responsibilities
- · Answer and route patient calls professionally and efficiently.
- Schedule appointments accurately and according to provider availability.
- Verify and update patient demographic and insurance information in the system.
- Manage high call volumes with attention to detail and patient care.
- Handle documentation requests, voicemails, and interdepartmental emails per SOP.
- Communicate effectively with office managers and clinical staff regarding scheduling or patient concerns.
- Follow all Call Center SOP guidelines, including call handling, documentation, and communication procedures.
- Maintain patient confidentiality and comply with HIPAA regulations.
- Support the Call Center Director with reporting or workflow updates as needed.
Minimum Qualifications
- High school diploma or equivalent (associate degree preferred).
- Previous experience in a medical or behavioral health call center preferred.
- Excellent communication and customer service skills.
- Ability to manage multiple priorities and maintain composure under pressure.
- Proficient with EHR, scheduling systems, and Google Workspace.
Physical Requirements
- Frequent sitting, standing, and walking.
- Frequent use of hands and fingers for typing and phone operation.
- Ability to lift up to 25 pounds occasionally.
- Ability to operate standard office equipment.
