What are the responsibilities and job description for the Front Desk Coordinator position at High Desert Property Management?
ABOUT US
High Desert Property Management manages hundreds of rental homes across Central Oregon. We've been a trusted name in Redmond - Bend -area property management for over a decade, and we're growing. Our team is small, sharp, and genuinely cares about doing right by our owners and residents. We use modern tools (AppFolio, AI-assisted communication) and believe the front desk is one of the most important seats in the company — not an afterthought.
THE ROLE
You'll be the first person our residents, owners, vendors, and walk-ins interact with — by phone, email, and in person. This role exists to keep the office running smoothly and to take real work off the plates of our property managers so they can focus on the properties they manage. You're not answering phones and filing. You're running the front of house.
Day to day, you'll:
- Answer phones and route calls (we use an AI reception system — you handle what it can't)
- Process voicemails and triage the info@ inbox each morning
- Greet walk-ins, log visits, receive packages
- Handle scanning, data entry, and document prep in AppFolio (our property management software)
- Process vendor intake paperwork and lease document prep
- Route inspection reports from our field inspector to property managers and owners
- Keep the office organized and presentable
WHAT WE'RE LOOKING FOR
Required:
- Reliable, on time, every day — this seat can't be empty
- Comfortable on the phone and in person with all kinds of people
- Detail-oriented — you'll handle documents that matter (leases, vendor agreements, owner reports)
- Able to learn software quickly — we'll train you on AppFolio, but you need to be comfortable with computers
- Professional written communication (email triage is a real part of the job)
Nice to have (not required):
- Property management or real estate office experience
- Experience with AppFolio or similar PM software
- Bilingual (English/Spanish)
WHAT MAKES THIS ROLE DIFFERENT
This isn't a dead-end receptionist job. We're building a company that runs on clear processes, modern tools, and people who grow into bigger roles. Past front desk hires at companies like ours have moved into:
- Leasing Coordinator
- Move-In / Move-Out Specialist
- Property Manager Assistant
- Administrative Lead
If you're organized, dependable, and want to build a career in property management without needing a license on day one, this is the entry point.

- $17–$20/hour depending on experience
- Paid time off
