Customer Service Representative

Reports To: Customer Service Manager / Office Manager
Position Summary
The Customer Service Representative is responsible for providing excellent customer support by assisting customers with orders, inquiries, delivery issues, and general account needs. This position serves as a key point of contact between customers, sales representatives, warehouse staff, and drivers to ensure accurate order processing and customer satisfaction.
Essential Duties and Responsibilities
- Answer incoming phone calls and emails in a professional and timely manner
- Process customer orders accurately and efficiently
- Assist customers with product inquiries, pricing, availability, and order status
- Resolve customer concerns, complaints, and delivery issues professionally
- Communicate with warehouse and transportation departments regarding order changes or delivery updates
- Enter and maintain accurate customer information in company systems
- Process credits, returns, and adjustments when necessary
- Review invoices, purchase orders, and customer documentation for accuracy
- Assist walk-in and will-call customers as needed
- Maintain strong communication with sales representatives regarding customer accounts
- Support office operations and administrative tasks as assigned
- Ensure confidentiality of customer pricing and account information
- Provide a high level of customer service while maintaining professionalism at all times
Qualifications
- High school diploma or equivalent required
- Previous customer service or office experience preferred
- Foodservice distribution experience is a plus
- Strong communication and interpersonal skills
- Ability to multitask and work in a fast-paced environment
- Strong attention to detail and organizational skills
- Proficient in Microsoft Office (Outlook, Word, Excel)
- Ability to learn company software and order entry systems
- Dependable, punctual, and team-oriented
Physical Requirements
- Ability to sit for extended periods of time
- Ability to use computers, phones, and office equipment daily
- Occasionally lift up to 20 pounds
