TITLE: Executive Director
SUPERVISOR: Hidalgo-Starr County Medical Society President
BASIC FUNCTION
To provide management service for the Hidalgo-Starr County Medical Society
MAJOR RESPONSIBILITIES/TASKS
1. Act as liaison between physicians and Hidalgo and Starr Counties.
2. Plan meetings and events (including CME) for the Hidalgo-Starr County Medical Society.
Duties include but not limited to:
- Negotiating contracts with hotels/convention centers
- Negotiating and arranging speaker contracts and travel, site selection CME programs, recruitment of sponsors and exhibitors,
- Developing published materials and reports, on-site management, media attention, and collaboration with other groups (joint meetings).
3. Coordinate all activities of Boards and Committees; research issues and make recommendations, plan and staff meetings, implement decisions made, and publish reports.
4. Provide financial information with TMA support, guidance, and oversight.
5. Serve as managing editor for marketing and communications. Write, edit, design and publish educational materials, brochures, membership directories, recruitment brochures, social media presence and promotional materials for meetings.
6. With guidance from TMA, research and track legislative, socioeconomic, and regulatory issues affecting the Hidalgo-Starr County Medical Society.
7. With guidance from TMA:
- Serve as a resource of information to membership on legislative issues; develop capitol visitation programs, legislative workshops, and political education.
- Direct and manage membership activities.
- Report statistical data and tracking, analyze demographics, prepare and implement recruitment and retention strategies for HSCMS, TMA and AMA.
- Serve as media and public relations contact for societies.
- Write and issue press releases, coordinate press activities, produce and distribute Public Service Announcements
8. Contributes to HSCMS’s social media presence by posting upcoming meetings and coordinating physician volunteers.
9. Maintain membership in HSCMS across resident and attending physician demographics.
10. Provides support to the Alliance as needed, based on workload and availability.
11. Manage Property – to include collecting rent, cleaning and paying bills. HSCMS uses a weekly service for deep cleaning.
12. Coordinate the yearly directory publishing, selling ads and managing all aspects of the county society directory. Success of the directory is linked to the annual bonus.
13. Attend designated out of town meetings as directed by the Board. Travel expenses will be reimbursed.
14. Arrange and attend to all general meetings after hours.
15. Perform other related duties as directed or required.
16. Yearly bonus criteria will be based on goals and expectations of the Board.
17. Provide quarterly updates to the Board on bonus criteria activities.
INDEPENDENCE/SUPERVISION RECEIVED
Duties are performed independently to achieve assigned objectives; however, methods and procedures may not be specifically defined. Employee may be required to develop or research appropriate methods and procedures to be used. Direct oversight is provided by the HSCMS President in coordination with the HSCMS Board of Directors.
GENERAL QUALIFICATION REQUIREMENTS
Knowledge and Experience:
Requires basic understanding of a specialized area of knowledge normally acquired through attainment of college degree in related field, or 2 to 3 years experience. Computer software knowledge to include Windows, Word, QuickBooks, Excel. Cloud based application knowledge to include Facebook, Instagram, twitter, slack, google documents.
Skills and Abilities:
Ability to understand and follow oral and written instructions and to deal effectively with Hidalgo-Starr County Medical Society member physicians. Must be organized and able to manage multiple tasks. Ability to plan, work and deal effectively with members and the public. Proficient in word processing and spreadsheet software as well as a variety of cloud-based communication, marketing, media, and business applications. Excellent interpersonal, grammar, writing and telephone skills. Public speaking skills. Ability to develop, implement, and evaluate marketing strategies for social media, web content, etc.

Pay: $55,000.00 per year
