Receptionist/Customer Service

SUMMARY:

Primarily acts as a liaison amongst and between all departments, including HR, Accounting, Production, QA, and Shipping. Directs and coordinates activities of Customer Service department while keeping Safety, Quality, Service, and Profitability in mind at all times. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Position acts as the primary front office Receptionist who will answer the multi-line phone system and directs calls accordingly when needed 
  • Responsible for consumer complaints via phone, email & regular mail.
  • Will maintain the tracking of all consumer complaints via excel.  
  • Answer and direct employees, clients, etc.at secured front door.
  • Mail – Daily receiving & shipping
  • Position acts as the primary inventory control of sample orders that are shipped out to Brokers & Customers - Responsible for the shipping & processing to said Brokers & Customers 
  • Works directly with Sales, Marketing, Accounting and Human Resources on projects when needed. 
  • This position acts as the “go to” person for shipping, office products, etc. 
  • Responsible for sending invoices of purchases to Human Resources for employee deductions from payroll.
  • Maintains expense report in Concur for payroll purposes. 
  • Assist colleagues with travel, arrangements, booking rooms etc. whenever necessary.
  • Coordinate office activities and sales meetings whenever necessary. 
  • Manages the input of data into spreadsheets such as inventory. 
  • Provide administrative support and back up for Sales, Marketing, Accounting and Human Resources whenever needed.  
  • Other general office duties as assigned as this is a fluid and ever changing position due to the nature of our business and seasons.  


 QUALIFICATIONS:

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to align performance objectives and demonstrate strong people skills. The requirements listed below are representative of the knowledge, skill, and/or ability required. 
  • Considerable knowledge of and experience with Microsoft Office products including Word, Excel, PowerPoint, and Outlook 

 

 EDUCATION and/or EXPERIENCE:

  • High School Graduate / GED
  • Customer Service Experience preferred

 

LANGUAGE SKILLS:

  • Ability to read and interpret documents.  
  • Ability to communicate effectively with employees and management. 

 

MATHEMATICAL SKILLS:

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentages

 

REASONING ABILITY:

  • Ability to solve complex and or practical problems and deal with a variety of variables and in situations where only limited experience exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Weigh and accept shipping boxes.
  • Working with dry ice when applicable.
  • Sitting for extended periods of time. 

 

Work Environment:

  • This job is performed in an office environment, typically Monday through Friday from 8:00 AM to 5:00 PM EST
