We are seeking a confident and qualified Payroll Administrator to join our team. The Payroll Administrator will oversee and execute payroll for a variety of entities on a weekly, bi-weekly, and semi-monthly basis. This position will work closely with both Accounting and HR teams, reporting directly to the CFO.
Payroll Administrator Duties and Responsibilities:
- Manage and oversee the end-to-end payroll process, including collecting and verifying timekeeping data, calculating wages, deductions, and overtime for multiple entities.
- Ensure compliance with applicable laws and payroll tax obligations.
- Respond to audits from government agencies and external auditors.
- Complete payroll reports for record-keeping purposes and managerial review.
- Reconcile payroll prior transmission and validate confirmed reports.
- Manage and maintain payroll records and files.
- Manage full-cycle multi-state payroll for exempt, non-exempt employees.
- Manage employee wage garnishment, tax levy and support orders.
- Maintains employee confidence & protects operations by keeping HR information confidential.
- Ensure accurate and timely distribution of paychecks or direct deposits to employees.
- Handle all payroll inquiries and resolve payroll-related issues promptly.
- Prepare year-end reports, including W-2 forms, and distribute them to employees.
- Continuously evaluate and streamline payroll processes for efficiency and accuracy.
- Implement best practices in payroll administration.
- Collaborate with HR and Accounting teams to ensure data integrity and alignment with company policies.
- Conducts quarterly review of employee data and corrects any issues, including all communication and development of procedures.
- Conducts quarterly review of company-level tax setups and registrations and corrects all issues
- Registers with state and local agencies for tax withholdings. Determines methodology for withholding state unemployment and other mandated deductions and ensures compliance with state and federal laws and regulations, including mandatory postings, communications, policies, etc.
- Reviews wage and tax registers, reviews Quarterly tax verification letters, State Unemployment Insurance rates (check status and accounts), and statements of 940 and 941.
- Other duties as assigned.
Payroll Administrator Requirements:
- Bachelor's degree in accounting, finance, or a related field. Professional certification in payroll (e.g., Certified Payroll Professional) is a plus.
- Familiarity with payroll software and systems (e.g., ADP, SAP, Workday) and proficiency in using spreadsheet software (e.g., Microsoft Excel). Specific experience with Paylocity and QuickBooks is preferred.
- Multi-company payroll experience preferred.
- Ability to handle sensitive and confidential information with discretion and maintain high levels of integrity and professionalism.
- Strong analytical and problem-solving skills, with the ability to reconcile payroll discrepancies and resolve payroll-related issues.
- Effective verbal and written communication skills, with the ability to communicate complex payroll information to employees and stakeholders.
- Exceptional organizational skills and the ability to prioritize tasks, meet deadlines, and work efficiently in a fast-paced environment.
- Team player with excellent interpersonal skills and the ability to collaborate effectively with cross-functional teams.

Pay: $65,000.00 - $75,000.00 per year
