Scheduling & Inventory Specialist

Pay Range: $65,000 – $80,000

Location: Maine | Maine Production Facility

Full Time | Permanent | 7.00am -4.00pm pm Mon – Fri

The Scheduling & Inventory Specialist plays a critical role in supporting production, inventory accuracy, and operational efficiency across the business. This position is responsible for coordinating production schedules, managing inventory levels, creating and maintaining work orders, supporting purchasing activities, coordinating product testing and samples, and overseeing outbound shipping and logistics processes. The role works closely with Production, Warehouse, Sales, FSQA, USDA, Procurement, suppliers, and logistics partners to ensure materials, products, and shipments are planned, tracked, and delivered accurately.

About the Role

As a Scheduling & Inventory Specialist, you will be responsible for ensuring the right materials and products are available at the right time to meet production and customer demands. You will monitor inventory levels, create production work orders, support logistics and shipping activities, and coordinate with multiple departments to maintain efficient workflows. Working in a fast-paced food manufacturing environment, you'll use analytical skills and operational knowledge to identify inventory needs, resolve discrepancies, and improve planning processes. This role is ideal for a detail-oriented professional who enjoys problem-solving, collaboration, and driving operational excellence. Your work will directly contribute to inventory accuracy, production efficiency, and customer satisfaction. Key Responsibilities

  • Create, post, and maintain production work orders aligned with customer demand, inventory levels, and production capacity.
  • Monitor and manage inventories of raw materials, packaging, labels, and finished goods to ensure operational readiness.
  • Coordinate product samples, testing activities, outbound shipments, transfers, and logistics requirements.
  • Support purchasing activities and supplier communications regarding material availability, delivery schedules, and shortages.
  • Investigate inventory, receiving, shipping, production, and documentation discrepancies and drive resolution.
  • Analyse inventory trends and historical data to proactively identify stock requirements and minimise shortages.

You Will Bring

  • Experience in production scheduling, inventory control, purchasing, logistics, or a related operations role.
  • Experience working within food manufacturing, meat processing, perishable goods, or regulated production environments is preferred.
  • Strong knowledge of ERP systems, work orders, inventory transactions, purchasing, and production planning.
  • Experience with shipping documentation, bill of lading (BOL) tracking, carrier coordination, and warehouse inventory management.
  • Advanced organisational skills with exceptional attention to detail and accuracy.
  • Strong Microsoft Office skills, particularly Excel, combined with effective communication and problem-solving abilities.

Work Environment

  • Full-time operational role supporting production, inventory, warehouse, and logistics activities.
  • Work will be performed across office, warehouse, production, shipping, cooler/freezer, and yard environments.
  • Regular movement throughout the facility including standing, walking, sitting, bending, lifting, and carrying materials as required.
  • Exposure to refrigerated environments at or below 40°F.
  • Production and warehouse environments may include industrial equipment, forklifts, pallet jacks, trailers, cleaning chemicals, slippery surfaces, and sharp tools.
  • Occasional weekend work or extended hours may be required to support production, inventory, shipping, or operational demands.
  • Appropriate safety equipment, training, and personal protective equipment will be provided.
