Overview
We are seeking a dedicated and professional Part time Receptionist/Assistant to join our team. We will need someone every Wednesday from 12-5pm. Twice a month we have paid lunches that your welcome to come and eat with the staff. We need you to fill the role when the receptionist needs time off some of the day, or if she is using her vacation time we need it covered and you would have more time. This is an ideal job for someone who wants to work a little bit but not committed to a complete part time job. This role is essential in providing exceptional customer service and administrative support within our organization. The ideal candidate will possess strong office management skills, be highly organized, and have a friendly demeanor to create a welcoming environment for clients and visitors. This job can be busy with phone calls, and then have quite a bit of down time. It is perfect for someone who is a student and needs study time, someone who likes to read, or has something to do in between the calls and clients that need to be taken care of. It is required that your in office. Can work from home when we need you less than 4 hours. When covering for our receptionist when she uses her vacation time we would like you to come into the office in Riverton. This job requires someone with computer skills. It is a job that requires professionalism and confidentially. You would be required to do a HIPPA training.
Responsibilities
- Greet and assist clients and visitors in a courteous manner, ensuring a positive first impression.
- Manage incoming calls, emails, and correspondence.
- Be able to learn our program Simple Practice, which is what we use to schedule our therapists for their appointments.
- Be able to to communicate with the team who needs clients, and who is full with their schedule so we can manage their calendars and help them stay full.
- Problem solve any issues that come forward, be able to provide full support to the client by reaching out to other staff for help in problem solving.
- Provide administrative support including data entry, document preparation, and clerical tasks.
- Assist with customer support inquiries, addressing concerns promptly and professionally.
- Ensure the reception area is tidy and presentable at all times.
- Collaborate with team members to enhance office efficiency and workflow.
- Run occasional errands needed for owner (pick up monthly lunches for staff, help with set ups for meetings).
Qualifications
- Proven experience in office management or as a receptionist is preferred.
- Strong customer service skills with the ability to communicate effectively with diverse individuals.
- Proficient computer literacy, including familiarity with office software such as Microsoft Office Suite.
- Excellent organizational skills with keen attention to detail.
- Ability to handle clerical tasks efficiently while maintaining confidentiality.
- Strong typing skills and ability to multitask in the environment.
- A proactive attitude towards problem-solving and willingness to learn new skills.
