Role Overview
The Associate Director of Digitization Services oversees the execution of digitization projects including media conversion and ensures that all projects follow contractual requirements, client expectations, and that they remain within the prescribed budget and timeline. This position will also assist in the development of new digitization capabilities as needed. The Associate Director of Digitization Services reports to the Managing Director of Archival Operations and also works collaboratively with other department heads, as well as with Business Development and Client Services teams.
Responsibilities
- Organize scan material for ease and efficiency of use
- Develop and implement digitization workflows focusing on expediency and efficiency
- Manage departmental personnel and inter-departmental relationships
- Enforce expectations set by the Managing Director of Archival Operations for Scan Technicians
- Enforce Scan Technicians daily expected output
- Track daily scan counts, total required counts, and provide the information to Managing Director of Archival Operations
- Oversee and conduct internal quality control processes and keep Quality Control in “real-time” with scanning operations
- Direct and schedule all photography projects including projects at client locations and 3D photography
- Responsible for all media conversion projects including cost estimation, liaising with the Heritage Werks media conversion partner, delivering and retrieving the client’s media materials, conversion partner invoices, and determining project final cost.
- Conduct face to face, developmental counseling sessions with each Scan Team Technician and record on Heritage Werks Developmental Counseling Form – Quarterly Counseling at minimum
- Track and report quantifiable data generated from the Scan Room to the Managing Director of Archival Operation
- Ensure that projects are delivered on time and within budget, including working with senior level leadership to accurately estimate new projects and managing client support (including occasional off-hours response on business-critical needs)
- Serve as the main point of contact for clients with digitization projects, ensure contract compliance of all deliverables.
- Operate various pieces of scan equipment
- Oversee internal digital storage needs and systems
- Troubleshoot equipment failures as needed
- Perform employee evaluations and training.
- In cooperation with our Client Services team, provide client updates, participate in client meetings as needed, and ensure client approval of content being digitized
- Other duties as assigned based on operational/project/business need
Qualifications/ Required Experience
- 3 - 5 years of experience in managing employees, technicians and vendors
- Associate’s degree or Bachelor’s degree preferred
- Excellent leadership, communications and presentation skills
- Ability to prioritize, multi-task and manage multiple projects simultaneously with high attention to detail and accuracy
- Ability to manage personnel by enforcing punctuality and productivity

- Experienced with both Windows and Macintosh computer platforms (preferred)
