What are the responsibilities and job description for the Project Coordinator – Experiential Graphics & Environmental Design position at Heritage Signs & Displays?
Are you highly organized, detail-driven, and excited to help bring branded environments and experiential graphics to life? We’re seeking a Project Coordinator to support the planning, coordination, and execution of commercial interior design and environmental graphics projects. In this role, you’ll work closely with project managers, designers, fabricators, and installers to ensure projects run smoothly from concept through installation.
You’ll assist with communication, scheduling, estimating support, and documentation — helping transform bold ideas into impactful visual experiences for workspaces, retail, and events.
What You’ll Do
- Manage multiple commercial interior and event signage projects throughout their lifecycle.
- Client communication by preparing updates, gathering requirements, and ensuring project details are documented accurately.
- Conduct site surveys by organizing measurements, photos, and specifications for use by the design and production teams.
- Coordinate and track project tasks across design, production, and installation teams to help ensure timelines, budgets, and quality standards are maintained.
- Maintain project progress in Microsoft 365, Teams, Trello, Print Smith, and Plan Prophet CRM.
- Assist with preparing estimates, proposals, and internal documentation using company tools and workflows.
- Support material selection, proofing, and color-matching processes by organizing samples, reviewing artwork, and communicating revisions.
- Document and escalate risks, changes, or issues to the Project Manager to support proactive decision-making.
- Continuously support workflow improvements and participate in training on communication, teamwork, and project processes.
What You’ll Bring
- 1–3 years of experience coordinating projects in signage, experiential graphics, wide-format printing, or a related design/production environment.
- Familiarity with wide-format print processes (UV roll/flatbed), CNC or laser-cut production, or willingness to learn quickly.
- Working knowledge of Adobe Illustrator and Photoshop (ability to open, review, annotate, or lightly edit files).
- Basic understanding of rigid and roll substrates and how they’re used in environmental graphics.
- Excellent organizational and time-management skills with the ability to track many details at once.
- Strong written and verbal communication skills.
- A collaborative, team-focused mindset and a proactive approach to problem-solving.
- An eye for detail, color, and material accuracy.
