Job Summary:
Heritage Closing Firm is seeking a detail-oriented and proactive Pre-Closer to join our team. The Pre-Closer plays a critical role in the real estate closing process by preparing files for closing, ensuring all documentation is accurate and complete, and coordinating with internal and external parties to achieve a “Clear to Close” status. This position requires strong organizational skills, excellent communication, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- File Preparation: Review and process new closing files, ensuring all necessary information and documentation (e.g., title commitments, contracts, lender instructions) are received and accurate.
- Document Coordination: Order and track title examinations, surveys, appraisals, mortgage payoffs, HOA letters, estoppel letters, and tax information.
- Title Review: Perform initial reviews of title reports to identify and address potential issues, working with title curative specialists, closers, and attorneys as needed.
- Communication: Maintain consistent, professional communication with clients, lenders, real estate agents, buyers, sellers, and other stakeholders to gather information and provide updates on file status.
- Closing Support: Assist in preparing closing documents, such as deeds, closing disclosures, and settlement statements, ensuring compliance with federal, state, and company regulations.
- Data Entry and Software Use: Input and manage transaction data in Qualia software to track progress and ensure accuracy.
- Issue Resolution: Identify and escalate any discrepancies or title issues to closers or attorneys, ensuring timely resolution to meet closing deadlines.
- Customer Service: Provide exceptional support to clients and stakeholders, answering questions and ensuring a smooth pre-closing process.
- Additional Duties: Assist with other closing-related tasks as needed, including scheduling appointments and supporting closers during the final closing process.
Qualifications:
- Experience: 2 years of experience in the title and settlement industry, preferably as a pre-closer or in a similar role within a title company or real estate law firm.
- Education: High school diploma or equivalent required; higher education or coursework in real estate or paralegal studies preferred.
- Strong organizational and time-management skills with the ability to prioritize multiple tasks.
- Excellent verbal and written communication skills for professional interaction with clients and stakeholders.
- Meticulous attention to detail to ensure accuracy in documentation and compliance with regulations.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with Qualia software is a plus.
- Ability to work independently and collaboratively in a fast-paced, team-oriented environment.
- Certifications: Notary public certification or willingness to obtain one is a plus.
- Knowledge: Basic understanding of real estate transactions, title insurance, and closing processes preferred.
Preferred Qualifications:
- Experience with high-volume residential real estate closings.
- Familiarity with federal and state real estate regulations
- Comfortable communicating with lenders, taxing authorities, and real estate agents to obtain critical information.
Work Environment:
- Schedule: Monday – Friday, 8:00 AM – 5:00 PM with 1 Hour Break
- Location: In-office position
