Job Summary
The Veterinary Receptionist is the first point of contact for our clients and their pets. This role is crucial in ensuring a positive and efficient experience for all who visit our clinic. The receptionist is responsible for a variety of tasks, including greeting clients, scheduling appointments, answering phone calls, processing payments, and maintaining accurate patient records. Currently, we will be open Friday 4pm-2am, Saturday 4pm-2am, and open all day on Sunday into Monday morning. Weekends are a must.
Key Responsibilities:
Client Interaction:
* Greet clients and their pets warmly and professionally.
* Answer phone calls promptly and courteously, addressing inquiries and concerns.
* Schedule appointments and manage appointment calendars.
* Provide excellent customer service, resolving issues and concerns in a timely and compassionate manner especially in high stress situations.
Administrative Tasks:
* Check clients in and out, verifying and updating patient information.
* Process payments and handle financial transactions accurately.
* Maintain organized and up-to-date patient records, including medical histories and billing information.
* Clinic Operations:
* Preparing exam rooms.
* Maintain a clean and welcoming reception area.
* Adhere to all clinic policies and procedures, including safety protocols and regulations.
Qualifications:
* High school diploma or equivalent is preferred.
* Experience in urgent care and/or emergency hospital setting for 1-2 years is preferred.
* Strong interpersonal and communication skills.
* Excellent organizational and time management skills.
* Proficiency in computer software, including veterinary practice management systems. Ezy-vet and Smartflow experience is a plus.
* Ability to multitask and work efficiently in a fast-paced environment.
* Empathy and compassion for animals and their owners.
* Familiarity in medical terminology and in clinic procedures.
*Knowledge of basic animal restraint, managing kennels and animal handling.
