YOUR ROLE
Job Summary:
- Perform the necessary tasks and duties
involved with the selection and processing of customer orders to meet or exceed
the daily, monthly, and yearly sales objectives of the company while providing
superior customer service. Perform
complex administrative related functions to ensure assigned department operations
flow smoothly. Provide guidance,
direction, and information to support Zotos business in all facets of the
company.
- Essential Functions:
Process customer orders in the WMS to create warehouse instructions for order fulfillment. Insure required delivery dates, customer instructions, and any special handling has been achieved prior to releasing work to the warehouse.-10% - Monitor
and report as well as resolve product availability, substitution,
promotional, no-charge and accessory import items with source marketing
group to support a high order fill rate.Communicate daily with personnel from Distributor Support, Sales,
Marketing, Planning, Manufacturing, and customers to expedite and resolve issues
relating to customer orders.Determine course of action to optimize sales and service levels. -10%
- Verify
all shipping documents to insure accuracy of skus, weights, prices, quantities,
codes, and values. Calculate
weights and measurements with the use of various non system supported
tools, to perform metric conversions for identified shipments. -10%
- Prepare
bill of lading, packing slip, Hazardous Declaration, commercial invoice
and additional documentation as necessary.FAX original documents to identified customers and mail billing
invoices to “Sold To” address. Assure
each order complies with all hazardous material requirements. This includes: proper IMO/IATA
descriptions and MSDS sheets, labeling, and packaging. -15%
- Research
and determine best mode of transport for all shipments. Prepare and arrange shipments via
currently approved carriers for expedited service, as requested. Compare or solicit rate quotes and
transit times for expedited shipments.Ensure that transportation costs are included with the customer
billing, when applicable. -10%
- Communicate with packers to coordinate shipping dates, container drop off and pick ups, and other unique customer requirements. -5%
- Provide “Shipping Advice Form” with vessel name, ETD, and ETA, as needed. Provide back ordered info as needed. -5%
- Follow-up
transit of goods and advise support groups and at times, distributors, of
any problems or delays in delivery. -5%
- Initiate
and manage documentation for any loss or damage claims. -5%
- Maintain
complete and cross-referenced files by customer and country. In addition to actual orders, include
files for special notes on requirements and customer profiles. -5%
- Assist
support groups to resolve customer questions or issues. -3%
- Update
procedure and personnel training necessary to maintain ISO 9002, 9001 and
14001certification. -2%
- Prepare
monthly insurance forms. -3%
- Complete
inventory adjustment requests and assist is resolving discrepancies. -5%
- Perform
non-customer order functions by preparing shipments for raws, chemicals,
returns, OEM, and other various consignees to support the business needs
as they arise. -7%
- Provide
backup for other order coordinators as necessary.
- Haz-materials
shipping certification is necessary.
- Performs special projects and duties as required.
