Position Summary:
Performs administrative duties related to engineering projects, including grant writing and administration.Primary Position Duties:
General Administrative Responsibilities- Greet and assist clients, vendors, and visitors in a professional manner.
- Answer, screen, and direct incoming telephone calls and messages.
- Process incoming and outgoing mail, deliveries, and correspondence.
- Prepare, edit, format, distribute, and maintain reports, letters, forms, and project documentation.
- Establish and maintain electronic and physical filing systems.
- Coordinate meeting logistics, schedules, and office communications.
- Enter and maintain information in company software systems and databases.
- Support project managers, department managers, and technical staff with administrative tasks.
- Accurately charge time and complete required administrative records.
- Coordinate project documentation, plans, specifications, and bid packages, including invoicing and pay requests.
- Assist with proposals, qualifications packages, and marketing materials.
- Track project deliverables, deadlines, and submittals.
- Maintain project files and document control systems.
- Support permitting, agency correspondence, and client communications.
- Assist technical staff with report preparation, meeting coordination, and project administration.
- Grant writing and administration
Position Requirements:
Fluent English with reading, written and verbal communication skillsProficiency in Microsoft Office Suite including, Word, Excel, PowerPoint, Outlook, Teams and other video conferencing software.
Proficiency in office accounting and project record keeping software program(s).
Must be able to work independently or as part of a project team and demonstrate attention to detail.
Effective communication skills are essential for this position
Education or Skills:
Required:
High School Diploma, or equivalent.
Current Drivers License
Preferred:
Minimum of two (2) years of administrative support
