As an Administrative Assistant, you'll provide essential administrative support to six Directors and the Firm Managing Partner. Your role will involve managing schedules, preparing documents, coordinating meetings, and maintaining organized records. You'll also assist with travel arrangements, handling correspondence, and supporting special projects—all while demonstrating professionalism and a proactive attitude.
What You'll Do
As an Administrative Assistant, you will be responsible for
- Managing complex calendars, scheduling meetings, and resolving conflicts efficiently
- Preparing, editing, and distributing correspondence, reports, presentations, and other documents
- Screening and prioritizing incoming calls and emails, ensuring timely follow-up
- Maintaining organized electronic and physical filing systems for confidential documents
- Assisting with expense reports, invoices, and administrative recordkeeping
- Coordinating meetings, including logistics, virtual platforms, and catering arrangements
- Preparing meeting agendas, presentation materials, and related documentation
- Attending meetings as needed, recording minutes, and following up on action items
- Organizing company events, leadership meetings, and client functions
- Planning and booking domestic and international travel, including itineraries and accommodations
- Supporting travel arrangements, managing changes, and addressing travel disruptions
- Serving as a professional liaison between leadership, staff, clients, vendors, and external partners
- Handling sensitive information with discretion and sound judgment
- Assisting with special projects, research, and departmental initiatives
- Monitoring deadlines and following up on pending tasks for leadership
- Supporting process improvements to enhance administrative efficiency
- Coordinating onboarding for new team members as needed
What You'll Bring
The ideal candidate for this role will have:
- 3 years of administrative support experience, preferably supporting multiple executives or senior leaders
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Strong calendar management and scheduling experience
- Excellent written and verbal communication skills
- Exceptional organizational, time management, and multitasking abilities
- Ability to maintain confidentiality and handle sensitive information discreetly
- Strong attention to detail and problem-solving skills
- Experience supporting executives in professional services, legal, accounting, consulting, or corporate environments
- Experience coordinating travel and high-level meetings
- Associate's or Bachelor's degree preferred
