POSITION TITLE: Quality Assurance Administrative Assistant
Status: Non-Exempt
Under the direct supervision of the Director of Quality Assurance, that Quality Assurance Administrative Assistant will:
Administrative Duties:
- Collaborate on Quality Assurance initiatives, overseeing both internal and external audit requirements.
- Support staff, managers, and directors by organizing charts, facilitating the retrieval of client files for audits, and contributing to the onboarding process for new hires and interns.
- Utilize Microsoft Office tools to assist programs in monitoring client program requirements, including the creation and maintenance of client charts. Provide administrative support for email reminders, audits, and other program-related tasks.
- Generate and distribute weekly, monthly, and ad-hoc reports for programs.
- Maintain accurate records of agency staff licensure in Behavioral Health Services (BBS) and Substance Use Disorder (SUD).
- Ensure compliance with Relias online trainings by maintaining monthly records and distributing reports to Program Managers.
- Actively participate in agency events, as well as attend offsite meetings, as needed.
- Undertake additional responsibilities as assigned.
REQUIREMENTS
- Ability to effectively work with people of diverse backgrounds.
- Ability to clearly communicate information and instructions verbally and in a written form.
- Ability to pass a background check and criminal clearance.
- Ability to travel to all locations Commerce, Norwalk, Whittier, Long Beach, if/when necessary.
- Valid California driver’s license, current auto insurance, and a good driving record (if applicable).
PREFERRED QUALIFICATIONS:
- Knowledge of general office procedures and operations.
- Knowledge of computers and Microsoft program applications.
- Knowledge and experience working with some of the following electronic systems: Exym, FAF, PCNX, CHAMPS, HMIS.
