Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Oversee office management tasks such as filing, data entry, maintaining supplies, and organizing documents using spreadsheets and productivity software.
- Coordinate calendar management and schedule appointments for team members or executives, ensuring efficient time management.
- Handle bookkeeping responsibilities using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and financial record keeping.
- Provide exceptional customer service by supporting client communication, responding to inquiries promptly, and assisting with customer support needs.
- Support administrative functions like proofreading documents, word processing, and managing correspondence through Google Workspace or Microsoft Office applications.
- Maintain organized filing systems—both digital and physical—and ensure all records are accurate and up-to-date.
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with productivity software.
- Experience with QuickBooks or other bookkeeping tools is highly desirable.
- Excellent computer literacy including data entry, typing speed, proofreading, and technical proficiency.
- Strong communication skills in both English and bilingual capabilities preferred to support diverse client interactions.
- Ability to manage multi-line phone systems efficiently while demonstrating professional phone etiquette.
- Previous experience in front desk duties or as a medical/dental receptionist is a plus; personal assistant experience is also valued.
- Demonstrated ability to prioritize tasks effectively using time management skills in a fast-paced environment.
- Knowledge of office management practices including filing systems, calendar management, and office supply coordination.
