Position Summary
hellocare.ai is seeking an experienced and detail-oriented Administration & Accounting Officer to support daily business and operational needs across our fast-growing healthcare technology environment. This role combines administrative excellence with strong accounting capabilities, ensuring seamless coordination between internal teams, accurate financial processes, and smooth day-to-day operations.

Key Responsibilities
Administrative & Office Management
- Oversee daily office operations, including scheduling, correspondence, and supplies management.
- Coordinate travel arrangements, cross-team meetings, and company events.
- Maintain organized filing systems, documentation, and compliance records.
- Support HR processes such as onboarding, attendance tracking, and employee documentation.
- Ensure an efficient, well-structured, and employee-friendly office environment aligned with hellocare.ai’s culture.
Accounting & Finance
- Handle full-cycle accounting for the organization.
- Prepare monthly, quarterly, and annual financial reports.
- Assist with budgeting, forecasting, and financial analysis to support leadership decision-making.
- Manage employee reimbursements and company expenses.
- Ensure compliance with accounting standards, internal policies, and audit requirements.
- Support external audits by preparing accurate financial documentation.
Qualifications & Experience
- Bachelor’s degree in Accounting, Business Administration, or a related field.
- 6 years of hands-on accounting experience, preferably supporting fast-paced companies or tech environments.
- Strong proficiency with QuickBooks.
- Solid understanding of administrative operations and office management.
- Experience preparing budgets, forecasts, and audit materials.
- Excellent analytical, organizational, and problem-solving skills.
- Strong communication and multitasking abilities.
