Job Summary:

We are seeking a highly skilled and professional Front Desk Coordinator to join our team. The ideal candidate will have prior experience in plastic surgery, dermatology, or medspa settings, coupled with a background as a Medical Assistant. This role is pivotal in ensuring a seamless and welcoming experience for our clients from the moment they enter our clinic. You will be the first point of contact for clients, and your exceptional organizational skills, attention to detail, and ability to manage multiple tasks will be crucial to our clinic's success.

Key Responsibilities:

  • Client Interaction: Greet clients with a warm, professional demeanor and ensure they feel welcomed and valued. Answer phone calls, schedule appointments, and handle client inquiries with efficiency and courtesy.
  • Administrative Support: Manage front desk operations, including appointment scheduling, check-ins/outs, and processing payments. Maintain accurate and up-to-date client records and ensure confidentiality at all times.
  • Medical Support: Assist with basic medical tasks and procedures as needed, including preparing patients for treatments, taking medical histories, and ensuring all necessary documentation is completed.
  • Coordination: Collaborate with clinical staff to ensure smooth operations and timely patient flow. Coordinate with other departments to address client needs and resolve any issues that may arise.
  • Inventory Management: Monitor and manage office supplies, ensuring that the front desk and waiting areas are well-stocked and organized.
  • Customer Service Excellence: Provide exceptional customer service and address any concerns or special requests with professionalism and empathy.

Qualifications:

  • Experience: Prior experience in a high-end plastic surgery, dermatology, or medspa environment is strongly preferred. A background as a Medical Assistant is ideal.
  • Skills: Exceptional communication and interpersonal skills with a strong focus on customer service. Proficient in handling multiple tasks simultaneously and managing a high volume of clients.
  • Technical Proficiency: Familiarity with medical office software, scheduling systems, and Office 365. Ability to quickly learn new systems and technologies.
  • Attributes: Professional appearance and demeanor, attention to detail, and a proactive attitude. Ability to maintain composure and professionalism in a fast-paced environment.
