What are the responsibilities and job description for the Legal Receptionist/Secretary position at Heideman & Associates, LLC?
Heideman & Associates is seeking a full time (Monday-Friday) hard-working legal secretary/receptionist. Receptionist experience required. This position is the face of our firm and as such we are looking for someone who is professional and friendly.
Anticipated responsibilities:
-Opening the office each morning and closing in the evening (8:30am-5:30pm)
-Answering multiple incoming phone lines and directing the calls to the proper person
-Scheduling appointments
-Greeting clients and vendors
-Reviewing, logging, and sorting incoming mail
-Scanning documents
-Keeping office supplies stocked
-Running out of office errands as needed (post office, bank, etc.)
-Assisting paralegals and other office staff with administrative tasks
-Setting up client files
-Other duties as assigned
Qualifications:
-High school diploma or equivalent, additional schooling preferred
-Prior receptionist experience
-Must be extremely punctual and reliable
-Professional appearance and demeanor
-Experience and familiarity with Microsoft Office
-Professional phone etiquette
-Ability to multi-task
-Excellent written and verbal communication skills
-Bilingual english/spanish is a plus
Pay is negotiable and depends on experience.
Full benefits including health and dental insurance, paid vacation time, and paid holidays are offered to full time employees after a 90 day probationary period.
Office hours are Monday-Thursday 8:30 a.m. - 5:30 p.m. and Friday 8:30 a.m. - 5:00 p.m.
