Basic Function
Manages all hands-on operational aspects of the Psychiatric Rehabilitation Education Program (PREP) and our Special Housing Services. Directly Supervises program staff and coordinates with the Co-CEO’s, CAO, Fiscal / Administrative Manager and Operations / Fundraising Manager to assure these programs are meeting both programmatic and budgetary goals. Specifically this position is responsible for:

- Supervises the program staff
- Manages and updates PTO tracker for program staff
- Oversee and approve part time staff bi-weekly time sheet for payroll approval
- Oversee and manage part time staff daily time sheet to ensure she is clocking in and out and approving her timesheet for payroll
- Oversee all of the above mentioned staff and their respective responsibilities to ensure smooth operations of all aspects of PREP
- Assure needed coverage for services as needed due to staff PTO and/or schedule changes

- Daily Small Group and Individual activities

- Oversee, approve and ensure timely distribution of monthly calendars

- Assist staff in making changes to calendars as needed and communicating effectively to all
- Work with Co-CEO’s and other administrative staff to incorporate particular curriculums into the PREP calendar to meet the needs of of members and the goals of grant awards
- Work with staff to ensure coordination with volunteers participating in PREP
- Meals and Distribution Center Items
- Work with staff to assure timely meal delivery and distribution to members during program and deliveries as needed to people’s homes
- Work with staff to assure distribution center items are provided to members as needed as well as to the community during regularly scheduled hours
- Make sure staff are at the given sites during community distribution hours
- Work with Jack to identify any calls we receive for community members needing items from our centers
- Make sure distribution tracking sheets are filled out each time and given to Operations Manager monthly
- Service Projects, Community Events and Legislative
- Work with Operations Manager and Co-CEO’s to incorporate community service projects into the monthly PREP calendars
- Work with PREP staff to execute service projects
- Work with staff to research and seek out Legislative Events for Hedwig House to participate in and/or attend
- Communicate with Operations Manager and Co-CEO’s about events Sstaff want to attend as well as those suggested to them by Administration
- Work with staff to make sure they has completed registrations with legislative offices in a timely manner and that they know whether/which members will participate
- Coordinate with staff to assure we have staff coverage for regular PREP programming as well as the particular legislative and community events
- Program Tracking
- Ensure staff are tracking all activities and interactions with members are updated on program tracker daily
- Update all aspects of the tracker that apply (meals, snacks, volunteer activities, member tracking, etc.)
- Work with staff to update Teams regularly
- Manage and oversee agency vehicles
- Ensure registrations and inspections are up to date
- Ensure vehicles have gas and are regularly serviced
- Ensure vehicles have gone to the car wash at least monthly and if needed detailed
- Keep vehicle log updated and management team informed of any significant expenses
- Special Housing Services
- Phone Correspondence with Special Housing members and community partners/landlords
- Maintain list of current participants by programs
- Mail Correspondence with Special Housing members and landlords
- Respond to landlord notifications regarding rent increases, tenant non-payments, etc.
- Tenant Recertifications (including rent calculations) and written notices to tenants and landlords
- Rent Schedules
- Work with Fiscal/Administrative Manager to update as needed with rent and other required information (rent increases or inspections)
- Housing Apartment Inspections
- Track and manage as needed through county and Your Way Home
- Tracking
- Track services on HH tracker
- Track VESTA tenant contacts/information on HMIS (Clarity)
- Lease signings/Tenant Onboarding
- Perform apartment approval process
- Prepare leasing/tenant agreements
- Attend in-person lease signings as needed
- Manage and track furniture orders as needed
- Funding renewals
- Provide information for budgets or county renewals as needed
- Attend county and other meetings and trainings as requested by supervisor

- Participate in agency and fundraising events as requested by the Co-CEO’s
- Provide support and assistance with facility management as requested by the Co-CEO’s

Education, Training, Experience and Skill Requirements
- Minimum bachelor’s degree (Master’s degree preferred) in mental health, organizational leadership and/or related field including five (5) years of mental health work experience
- Able to demonstrate understanding of and teach the principles of behavioral health, recovery and recovery-oriented services
- Able to demonstrate strong administrative and supervisory skills
- Possesses and maintain valid driver’s license/safe driving record
Agency Requirements
- Follow policies and procedures of the agency, including administrative, quality assurance and personnel
- Perform related work as assigned, which may include lifting up to 15 pounds
- Participation in regular Management Team Meetings and Board meetings or committees
- Maintain timely documentation of all work assignments and unusual incidents for risk management
Job Type: Part-time
Pay: $35,100.00 per year
