JOB SUMMARY
The registrar for Heavy Equipment Colleges of America (HEC) maintains all academic records for all students. He or she works daily with all staff at Heavy Equipment Colleges of America as well as with HEC’s Support Center staff to perform his or her duties and responsibilities, as outlined below. The registrar is considered the official record keeper for Heavy Equipment Colleges of America and must be familiar with all academic policies and procedures.
ESSENTIAL DUTIES/RESPONSIBILITIES
- Maintain HEC's Student Database – CampusNexus (e.g. enter Enrollment Agreements into CampusNexus, run reports to monitor integrity of Anthology, enter Term Dates in Anthology, process all Change of Status Forms, process all FERPA requests, process Transfer Credits, process Proficiency Credits (Where applicable), conduct graduation audits and process eligible graduates, provide timely management of all records, scan documents into HEC's database (Anthology), issue transcripts for current and former students as requested, set-up courses in CampusNexus, register students for courses/programs, complete student and agency requests, enter attendance and distribute to location management, print Final Grade Worksheets, process program transfers, correct deficiencies and errors in CampusNexus as needed, change enrollment statuses, ensure accuracy, integrity, privacy and security of all student files)
- Serve as the official record keeper for all HEC locations
- Serve as the Proof of Graduation (POG) Subject Matter Expert
- Collect and process any required Veterans Affairs (VA) documentation
- Support the overall mission of HEC
- Maintain high level of student service standards
- Build relationships with Campus and Support Center staff
- Participate and facilitate in training sessions involving academic policies and procedures
- Adhere to Standard Operating Procedures
- Maintain HEC's Content Management Platform - BOX
- Ensure compliance with all external regulators (e.g. states, accreditors, VA)
- Assist in producing external regulatory reports
- Assist in conducting internal audits
- Work independently with minimal supervision
- Participate on teams
- Collaborate with HEC staff on assigned projects and daily activities
- Perform all other duties as assigned
QUALIFICATIONS
- Associate degree required
- Experience: Post-Secondary Education or another highly regulated industry, Customer Service, Auditing.
- Minimum 3 years’ experience at the college level as a registrar.
- Must be highly proficient on computers
- Strong analytical, problem solving, organizational, and interpersonal skills.
