Back-Office Administrative Flex Position – Heartwell Cardiology
Location: Winter Park, FL
Schedule: Full-time, in-office

Position Overview
This is a hybrid support role designed for someone who can flex between front desk, back-office, and administrative functions based on the daily needs of the practice. You will be a key part of keeping operations smooth, assisting clinical staff, and delivering an excellent patient experience.
This role is ideal for someone who is organized, proactive, and comfortable wearing multiple hats.

Key Responsibilities
Front Desk & Patient Support
• Greet patients and manage check-in/check-out
• Answer multi-line phones and assist with patient inquiries
• Assist with scheduling and rescheduling appointments
• Support insurance verification and basic administrative tasks
Back-Office & Administrative Duties
• Inventory management:
• Maintain stock of general medical supplies (gowns, gloves, electrodes, etc.)
• Assist with ordering supplies
• Support organization of procedural supplies (venous ablations, loop recorders)
• Handle office supplies, replenishment, and vendor coordination
• Assist with customer relations, including refunds and service concerns
• Help with scanning, faxing, patient chart updates, and EMR tasks
Flex Support Across the Practice
• Provide additional help to clinical and front desk teams during busy periods
• Assist with operational tasks and workflow optimization
• Step in for coverage during staff absences or high-volume days

• Prior experience in a medical office or front desk preferred
• Strong communication and customer-service mindset
• Ability to multitask and adapt quickly
• Comfortable with basic computer systems, EMR usage (training provided)
• Professional, reliable, and detail-oriented
