Program Administrator Position

Heartsong Inc.is an entirely creative arts therapy based non- profit organization that provides clinical, educational and rehabilitative creative arts therapy services to children and adults with developmental disabilities ranging in age, need, and ability.
Part-Time -5 days per week (Tuesday-Saturday). 25 hours (flexible based upon programming needs)

BA – related fields: human services, psychology, social work, special education
Three - Five years’ office experience
SALARY: $22.00 - 25.00 per hour
OVERVIEW
The Program Administrator coordinates the flow of information to all departments of the agency, i.e. Finance, Clinical Director, Executive Director. This position reports directly to the Clinical Director (and/or Executive Director).
OVERALL PROFICIENCIES
- Spanish language proficiency (written and spoken);
- Prior experience working in an office environment;
- Computer proficiency in: Word, Excel and related computer functions used in an office environment including mail merge, printing of labels;
- Excellent telephone skills with a range of constituents (parents, clients, students, therapists, teachers, caregivers, donors, board members, etc.);
- Demonstrated sensitivity to working with parents/guardians of children with special needs;
- Ability to manage multiple tasks;
- Strong organizational, writing and communication skills;
- Collegial and team-oriented;
- Self-starter; takes initiative;
- Some local travel is required.
RESPONSIBILITIES
- Coordinate client intake, enrollment, attendance, parent conferences, parent emails, parent notes, client waitlist, and client financial information;
- Maintain up-to-date and current client charts, i.e. applications, IEP, medical, contact sheets, telephone logs, etc.;
- Maintain up-to-date accurate computer records for clients and their families;
- Maintain client attendance, intake forms, service change forms, DDP1;
- Alert Clinical Director of excessive client absence or lateness;
- Assist as requested in other duties as they relate to the Heartsong mission;
- Compile quarterly DDSO Reports and program statistical reports;
- Create and maintain referral system to increase enrollment;
- Assist with contracts development and management;
- Assist with marketing needs;
- Assist with volunteer placements;
- Responsible for community outreach to build Heartsong brand awareness;
- Assist in fundraising efforts.
