What are the responsibilities and job description for the Data and AI Project Manager position at HEARTSHARE HUMAN SERVICES OF NEW YORK?
The Office of Data & Innovation is the engine of Heartshare's technology transformation. We are building a modern Azure Data Lakehouse, advancing AI governance through our DAIGI framework (Data, AI & Innovation Governance Initiative), and launching AI pilots that directly improve outcomes for the people we serve. This is a high-impact role for a mission-driven project manager who thrives at the intersection of technology, data, and human services.
The Project Manager will be responsible for end-to-end coordination of initiatives spanning data analytics, performance management, data infrastructure, and AI governance — ensuring projects are delivered on time, within scope, and aligned with our organizational and compliance standards.
Data Infrastructure & Systems Integration
- Manage project plans, timelines, and workstreams for the Azure Data Lakehouse buildout, including EHR, billing, and HRIS data integrations
- Coordinate with IT, vendors, and program stakeholders to ensure data pipelines, system integrations, and platform configurations are delivered on schedule
- Track milestones, surface risks, and escalating blockers across infrastructure workstreams
- Maintain documentation for data architecture decisions, integration specs, and technical onboarding materials
AI & Data Governance (DAIGI)
- Support the operations of DAIGI workgroups (Digital Tools & Optimization, AI-Guided Clinical Documentation, Person-Centered GPT, and others) by coordinating meetings, tracking action items, and managing workgroup documentation
- Manage project tracking for AI vendor assessments, HIPAA compliance reviews, and responsible AI pilots
- Develop and maintain a governance calendar, policy review tracker, and workgroup reporting dashboards
- Coordinate stakeholder communications across executive leadership, compliance, clinical, and programming teams
Data Analytics & Performance Management
- Support the planning and delivery of analytics projects, including cross-program performance dashboards, outcomes reporting, and quality metrics initiatives
- Coordinate with internal teams and external partners (e.g., NYIN, OPWDD, ACS) on standardized reporting frameworks and data submission timelines
- Facilitate sprint planning, retrospectives, and status reporting for analytics and data product deliverables
- Maintain the Data & Innovation project portfolio, ensuring visibility into workload, priorities, and capacity across the team
Stakeholder Engagement & Change Management
- Serve as a key point of contact for cross-functional project teams, keeping stakeholders informed and engaged
- Draft and distribute project updates, executive summaries, and board-level reporting materials
- Support changing management activities for new tools and platforms, including communication planning and training coordination. Contribute to a culture of continuous improvement within the Data & Innovation office
- Bachelor’s degree in project management, Information Systems, Public Administration, Social Work, or a related field
- 3 years of experience managing complex, cross-functional technology or data projects
- Demonstrated experience with project management methodologies (Agile, Scrum, Waterfall, or hybrid)
- Proficiency with project management tools such as Microsoft Project, Asana, Jira or Monday.com
- Strong written and verbal communication skills, with the ability to translate technical concepts for non-technical audiences
- Proven ability to manage multiple workstreams simultaneously in a fast-paced environment
- Commitment to the mission of supporting underserved populations
Preferred
- PMP, PMI-ACP, or equivalent project management certification
- Experience working in a nonprofit, healthcare, behavioral health, or human services organization
- Familiarity with HIPAA compliance requirements and data privacy best practices
- Exposure to data platforms (Azure, Databricks, Power BI) or EHR systems (e.g., Therap, Welligent, Netsmart)
- Experience supporting AI governance, responsible AI initiatives, or technology ethics frameworks
- Bilingual skills (Spanish, Haitian Creole, or other languages spoken by Heartshare communities) a plus
