Administrative Support / Intake Worker

Heartland Consulting

Red Lake Nation, Minnesota. Primary duty station: BIA Red Lake Agency, Red Lake, Minnesota, with field work across the reservation and travel to off-reservation placements, courts, and trainings as required.

About the role

The Administrative Support / Intake Worker receives and documents reports of suspected child abuse or neglect, supports screening decisions, ensures timely cross-reporting, and maintains accurate case records and program data so staff can meet required timeframes. This role recommends screening decisions and priority levels but does not make final screening decisions, conduct investigations, or interview alleged perpetrators.

The position works staggered shifts of 7:30 a.m.–4:00 p.m. and 11:00 a.m.–7:30 p.m., Monday–Friday, and is not part of the on-call rotation. Contractor personnel are employees of Heartland Consulting, not federal employees. Indian Preference applies.

What you will do

  • Receive reports of suspected child abuse or neglect from all sources using the standard intake form and guide. Handle any call or visit that may constitute such a report immediately as an intake.
  • Document intakes completely in the FASS CMS Cloud case management system, including history checks and prior referrals.
  • Present intakes with a recommended screening decision and priority level; escalate Priority 1 situations immediately.
  • Prepare and document written cross-reports to law enforcement within required timeframes.
  • Recognize and escalate reports involving substance-exposed infants, missing children, and possible trafficking.
  • Set up and maintain case files in the required format, audit files for missing documents, and notify assigned workers.
  • Enter and update data, conduct data quality checks, and track deadlines for visits, case plans, reviews, and compliance items.
  • Send weekly deadline alerts to Response Workers, Child Welfare Case Workers, and the Contracting Team Lead.
  • Compile the Weekly Backlog Report and the data portion of the Monthly Status and Performance Report.
  • Maintain an accurate list of pre-cleared emergency placement options in FASS CMS Cloud for Response Workers, and work closely with the Nation’s Foster Care Licensing Program to obtain supporting documentation.
  • Secure paper records daily, log file check-out and return, and follow confidentiality requirements.
  • Answer the main telephone line and route calls. Greet community members and visitors during public walk-in hours, direct them to appropriate staff, and protect confidentiality at the front desk.

Minimum qualifications

  • Associate degree in social work, sociology, psychology, counseling, human services, criminal justice, or another related behavioral or social science field from an institution accredited or pre-accredited by an agency recognized by the U.S. Department of Education. Social work degrees must be from a Council on Social Work Education (CSWE)-accredited program.
  • At least one (1) year of human services, child protection, or child welfare experience.
  • Valid driver’s license.
  • Ability to complete a Moderate Risk Public Trust background investigation. The source identifies a favorable investigation under PL 101-630 before entry on duty as preferred and states that no work or child contact is permitted until cleared. The typical clearance timeline is approximately 60 days.
  • Willingness to complete mandatory security training and initial training within 15 calendar days of entry on duty and before independent duty.
  • Completion of required cultural orientation on Red Lake Nation history, Ojibwe culture and language, closed-reservation status, and tribal protocols within 15 days.
  • Ability to work the stated staggered shifts and perform required field work and travel..
