Position Summary
Heart Home Care Services is seeking a highly organized, dependable, and experienced Scheduler / PRN Caregiver to coordinate caregiver staffing and provide direct client care when coverage is needed. This position plays a critical role in maintaining uninterrupted client services by managing caregiver schedules, coordinating staffing needs, and serving as a backup caregiver for open shifts.
The ideal candidate must have extensive experience using WellSky Personal Care and possess a strong background in medical scheduling, home care operations, caregiver staffing, and client service coordination. This individual must be proactive, solution-oriented, and capable of managing staffing challenges in a fast-paced healthcare environment.
Essential QualificationsRequired
- Minimum two (2) years of experience using WellSky Personal Care
- Minimum two (2) years of medical scheduling experience
- Experience coordinating caregiver staffing in a home care, home health, hospice, or healthcare environment
- High school diploma or equivalent
- Valid driver's license, reliable transportation, and current automobile insurance
- Ability to travel to client homes when caregiver coverage is needed
- Excellent communication, organizational, and problem-solving skills
- Proficiency with Microsoft Office Suite (Excel, Outlook, Word)
- Ability to work flexible hours, including evenings, weekends, holidays, and on-call situations as needed
- Ability to maintain confidentiality and comply with HIPAA regulations
- Ability to work independently while managing multiple priorities and deadlines
Preferred
- CNA, PCA, HHA, LPN, or caregiving experience
- Experience with Workers' Compensation cases
- Knowledge of state home care regulations and compliance requirements
- Supervisory, staffing coordination, or scheduling management experience
- Experience recruiting and retaining caregiver staff
Scheduler Responsibilities
- Create, maintain, and update caregiver schedules using WellSky Personal Care.
- Ensure all client shifts are staffed appropriately and in accordance with client care plans.
- Coordinate coverage for call-outs, emergencies, vacations, and staffing shortages.
- Match caregivers to clients based on qualifications, availability, location, skills, and client preferences.
- Communicate schedule changes promptly to caregivers, clients, family members, and office staff.
- Monitor caregiver attendance, punctuality, missed visits, and schedule compliance.
- Contact caregivers regarding missed clock-ins, missed clock-outs, incomplete documentation, and other compliance concerns.
- Verify caregiver credentials and ensure assigned staff meet all client and regulatory requirements.
- Assist with onboarding new employees and maintaining accurate employee records within WellSky.
- Maintain staffing documentation, schedules, reports, and communication logs.
- Coordinate shift replacements and manage overtime utilization.
- Participate in after-hours staffing responsibilities and rotating on-call coverage as assigned.
- Monitor open shifts daily and proactively secure coverage before service interruptions occur.
- Generate scheduling reports and staffing metrics for management review.
- Develop and maintain a thorough understanding of all active client cases, including:
- 24-hour CNA cases
- 24-hour skilled nursing cases
- Personal care services
- Home Health Aide services
- Skilled nursing visits
- Physical Therapy services
- Occupational Therapy services
- Other specialty services provided by the agency
PRN Caregiver Responsibilities
When staffing shortages occur, the Scheduler / PRN Caregiver will provide direct client care, including but not limited to:
- Personal care assistance
- Bathing, grooming, and dressing assistance
- Mobility and transfer assistance
- Meal preparation and feeding assistance
- Medication reminders
- Light housekeeping
- Companionship and supervision
- Documentation of services provided
- Reporting changes in client condition to supervisors
- Following client care plans and agency policies at all times
Physical Requirements
- Ability to lift, transfer, push, and pull up to 50 pounds safely.
- Ability to stand, walk, bend, stoop, kneel, and reach for extended periods.
- Ability to assist with client transfers and mobility needs.
- Ability to travel throughout assigned service areas.
- Ability to work in various home environments and conditions.
Performance Expectations
The Scheduler / PRN Caregiver is expected to:
- Maintain staffing levels sufficient to meet client needs.
- Minimize uncovered shifts and service interruptions.
- Demonstrate professionalism with clients, caregivers, referral sources, and office staff.
- Maintain confidentiality and HIPAA compliance.
- Accurately document scheduling activities and caregiver services.
- Respond promptly to staffing emergencies and operational needs.
- Maintain a comprehensive understanding of all agency cases and staffing requirements.
- Consistently demonstrate accountability, reliability, and strong communication skills.
Work Schedule
This is a full-time position. Standard office hours are Monday through Friday; however, flexibility is required to address staffing emergencies, after-hours call-offs, weekend coverage, holiday scheduling needs, and on-call responsibilities.
Important Requirement
The individual selected for this position must be willing and able to personally work caregiver shifts that cannot be filled through normal staffing efforts. Because the majority of Heart Home Care Services' clients are located throughout the Metro Atlanta area, candidates residing within reasonable commuting distance are strongly preferred.
This expectation is essential to maintaining uninterrupted client care and ensuring the agency's commitment to service excellence.
