Patient Service Representative

Reports To Office Manager

Job Status Full Time

Position Summary

The Patient Service Representative position was created to ensure that all patients

are greeted professionally, scheduled appropriately, and that the office

environment is maintained in a professional manner.

Role and Responsibilities

 Responsible for creating a welcoming and respectful environment for

patients, visitors, and vendors

 Coordinate all patient scheduling needs

 Manage electronic patient records on proprietary software

 Enter patient information correctly into scheduling and billing software

 Must assure all non-insurance charges are accurately invoiced to the patient

 Must be able to discuss commonly asked “hearing aid and hearing loss”

questions

 Effectively communicate with all patients and visitors, including hearing-

impaired individuals

 Must accurately maintain cash box

 Must always protect patient and clinic privacy

 Effectively track patient and doctor referrals

 Prepare and send thank you cards to patients and referral sources

 Performs daily office cleaning

 Verify eligibility of all incoming patient benefits

 Collect monies for checkout

 Convert inquiries over the phone into appointments

 Check in patients and scan documents

Additional Functions

 Maintain day-to-day operational procedures according to supervisor

expectations

 Adhere to all company policies

 Serve as a critical member of the clinic’s team, assisting in the growth of the

practice

 Must be a self-starter and able to work independently

 Ensure the clinic is kept neat and clean in both the front office and back-

office areas

 Perform other duties as assigned

Job Skills, Knowledge and Abilities

 High school diploma or equivalent required

 Strong customer service focus

 Excellent organizational skills

 Able to generate, maintain, and demonstrate a friendly, enthusiastic, and

positive attitude

 Experience with OMS and EHR systems, and/or ability to learn and master

the practice’s scheduling systems

 Proficient computer skills (Microsoft Office)

 Dependable and self-motivated

 Ability to prioritize multiple tasks and produce results with both speed and

accuracy

 Ability to perform detailed tasks with speed and accuracy

 Able to communicate effectively with management and within the team

Work Environment & Additional Requirements

The typical work of this position is conducted in a professional office environment.

 Professional attire and attitude are required at all times

 Position requires fine motor skills for typing, filing, and manipulating

hearing aids

 Must be able to lift up to 50 pounds

 Must have reliable transportation, maintain a valid State Driver’s License,

and appropriate vehicle insurance
