What are the responsibilities and job description for the Office Manager position at HearBest?
Are you the kind of person who can make someone smile through the phone?
We're a growing audiology practice dedicated to helping people hear better and live better. Our patients aren't just appointments on a schedule - they're our neighbors, grandparents, and friends. We need an Office Manager who genuinely loves connecting with people, especially over the phone.
A huge part of this role is being the voice of our practice. You'll spend a significant portion of your day on the phone - reaching out to current patients, following up on care, re-engaging patients we haven't seen in a while and making sure every person who calls us feels welcomed and cared for. If you light up when the phone rings (and you're just as comfortable picking it up to make outbound calls), keep reading.
What You'll Do
-Outbound Patient Outreach: Proactively call current and past patients to schedule appointments, follow up on care, and ensure they're staying on track with their treatment. Your calls directly impact patient outcomes and practice growth.
-Inbound Call Management: Answer every call with warmth and professionalism. You're the first impression of our practice-make it count.
-Deliver 5-Star Experience: Whether on the phone or at the front desk, create moments that make patients want to tell their friends about us (and leave us a glowing review).
-Front Desk & Office Operations: Manage scheduling, inventory, and day-to-day office workflow across our Schererville and Crown Point locations.
Who You Are
-A natural communicator who's confident and warm on the phone-not someone who dreads making calls.
-Enthusiastic about providing care to others and making an impact in your community.
-Comfortable with technology and learning new systems.
-Available to travel between our Schererville and Crown Point offices with reliable transportation.
-Willing to travel occasionally to Lafayette for training (mileage is paid).
