We are seeking a highly organized and dynamic Registered Nurse (RN) to serve as our Office Manager and help lead daily operations while supporting clinical excellence.
Position Overview
The Office Manager (RN) plays a key leadership role in ensuring the smooth, efficient, and patient-centered operation of the practice. This position blends administrative oversight, clinical coordination, and patient engagement. The ideal candidate is a proactive, detail-oriented professional with strong customer service skills and the ability to thrive in a fast-paced healthcare environment.
Key Responsibilities
Operations & Leadership
- Oversee and manage day-to-day office operations to ensure efficiency and high-quality patient care
- Develop, implement, and refine office workflows and systems
- Coordinate scheduling, staffing support, and operational needs
Patient Intake & Triage
- Serve as the first clinical point of contact for new patient inquiries
- Triage new patient referrals and assess appropriateness for services
- Coordinate intake processes and ensure timely onboarding
Clinical & Administrative Support
- Manage treatment authorizations, prior authorizations, and medication approvals
- Provide clinical support as needed, including occasional administration of injections
- Assist with coverage support during staff absences or high-demand periods
Research & Innovation
- Support clinical research initiatives, including data collection and management
- Maintain accurate records and assist with reporting requirements
- Participate in innovative treatment programs with training provided in:
- Transcranial Magnetic Stimulation (TMS)
- Spravato (esketamine) administration
- Research protocols and study coordination
Patient Experience & Coordination
- Deliver exceptional, professional customer service to patients and families
- Serve as a liaison between patients, clinical providers, and the medical billing team
- Address patient concerns with empathy, discretion, and efficiency
Qualifications
- Active NH Registered Nurse (RN) license (required)
- Prior experience in healthcare operations, office management, or outpatient clinical settings preferred
- Understanding of good clinical practice guidelines, certification preferred. Will be required for employment.
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Professional, polished demeanor with a patient-centered approach
- Experience with prior authorizations and insurance processes preferred
- Comfort working in a dynamic, evolving clinical environment
