Background

Healthy Minds Policy Initiative was founded in 2019 by The Anne and Henry Zarrow Foundation to create a culture of problem-solving on mental health issues like these. To do this, we publish research and analysis on mental health and substance use issues in Oklahoma, advocate for policy solutions that increase Oklahomans' access to care, and convene community partners to build stronger local mental health systems.

Since its inception, Healthy Minds has published dozens of pieces of original research and analysis, helped secure tens of millions of dollars in competitive funding for Oklahoma's behavioral health care system, and initiated more than a dozen community-based partnerships committed to ending untreated mental illness and substance use. Healthy Minds provides data, consultation, and education on best practices to Oklahoma legislators and other leaders committed to improving the mental health of all Oklahomans.

Purpose

The Development and Operations Coordinator is a support staffer for the organizational advancement division, with responsibilities for internal operations, fundraising, and client and funder relations. The position's day-to-day activities are essential for the continued health and long-term sustainability of the organization. Working with Healthy Minds team members across divisions, this is an important contributor to improving and managing processes, policies, and procedures that increase operational efficiencies and promote good financial stewardship.

Responsibilities

  • Processing accounts receivable by preparing billing materials, sending invoices, recording payment, and following up with clients as needed.
  • Processing accounts payable by inputting invoices, facilitating the accounts payable process, categorizing expenses, and organizing supporting documentation.
  • Managing grant reporting requirements by preparing drafts of reports and tracking due dates for submissions.
  • Supporting resource development by maintaining prospect lists of funding sources - including donors, grants, and RFPs for services - and elevating high-priority opportunities for impact.
  • Contributing to written grant and funding proposals in support of both fundraising goals and key strategic priorities.
  • Supporting the fulfillment of agreements with grantors, fee-for-service clients, and vendors by maintaining accurate records of agreements and reporting requirements.
  • Organizing and maintaining digital collaboration tools, including project management and file storage software.
  • Assisting in completion of HR-related tasks, including hiring processes and onboarding.
  • Maintaining familiarity with behavioral health philanthropy both in Oklahoma and nationally.

Required Qualifications

  • High school diploma or equivalent required.
  • At least 2-3 years of experience in nonprofit development, accounting, and/or general operations.
  • Proficiency in Microsoft Office suite.
  • Experience with Quickbooks or other similar accounting software.
  • Commitment to the organization's mission and values.

  • Experience writing grant reports or applications.
  • Experience managing or supporting HR processes.
  • Experience with project management and team collaboration software.

  • Adaptability to a wide range of requirements of funding source and contract processes.
  • Able to communicate clearly and courteously with funders, clients, and vendors.
  • Curiosity and initiative to improve processes and increase efficiency in day-to-day activities.

Work Environment And Physical Requirements

  • This is a hybrid position, with 2.5 days each week required at the organization's Tulsa office.
  • Reliable internet access is required for at-home workdays.
  • Occasional travel between Tulsa and Oklahoma City offices is required. Statewide travel may be assigned for meetings or events outside of the two metro areas.
  • Regular work hours are 9:00 AM to 5:00 PM, Monday through Friday.
  • Candidates must be able to work in an office environment and sit for extended periods of time.

Compensation And Benefits

  • Compensation range: $52,000 to $62,400 annually, commensurate with experience.
  • Medical, dental, vision, short-term and long-term disability insurance is 100% employer-paid for full-time employees; dependent coverage available with employee cost-sharing for health insurance (currently approximately 22% employee-paid).
  • Automatic 7% employer-funded 401K contributions with no vesting schedule.
  • Three weeks PTO and two weeks paid sick leave.
  • 10 paid company holidays and two employee-directed floating holidays, plus time off for work days between Christmas Day and New Years Day.

Salary : $52,000 - $62,400
