Reports To: National Director, Director of Organizational Operations & Director of Program Operations
Location: HKRS National Office - Chadds Ford, PA and remote
Schedule: In office time required on Tuesday, Wednesday, Thursday
Compensation: $20/h| 10-20 hours per week
Responsibilities
The Supply Manager is responsible for coordinating inventory, procurement, vendor relationships, and fulfillment to support program operations across all locations nationwide. This role ensures that race supplies, awards, merchandise, and program materials are ordered, tracked, and delivered accurately and on time. The Supply Manager works closely with the leadership team, Program Managers, Coordinators, vendors, warehouse partners, and the Finance Manager to support successful program execution throughout the year.
Supply & Inventory Management
- Forecast seasonal supply needs based on registration and participation trends.
- Monitor inventory levels and coordinate reorders as needed.
- Conduct inventory reconciliations and maintain accurate inventory records.
- Review and approve coordinator requests for additional supplies and replacement materials.
- Maintain item cost information and support supply-related reporting.
Vendor & Order Management
- Manage vendor relationships, including pricing, order placement, and issue resolution.
- Obtain quotes and negotiate pricing for supplies, awards, merchandise, and special projects.
- Coordinate seasonal orders for race shirts, medals, trophies, awards, and other program materials.
- Track orders and ensure timely fulfillment and delivery.
Fulfillment & Distribution
- Coordinate the shipment and distribution of supplies to program locations.
- Work with warehouse and fulfillment partners to ensure accurate order fulfillment.
- Monitor shipment tracking and resolve delivery issues when necessary.
- Support fulfillment of Start-a-Race kits, replacement supplies, and special requests.
Program & Store Support
- Coordinate supply needs with Program Managers and Community Coordinators.
- Assist with inventory management, product sourcing, and fulfillment for the online store.
- Research and recommend new products and merchandise opportunities.
Financial & Administrative Support
- Maintain accurate purchasing, inventory, and shipment records.
- Ensure tracking and supply information is entered into organizational systems.
- Communicate and follow the approval process for significant purchases in collaboration with the Finance Manager and submit expense documentation as required.
- Manage office supply inventory and ordering.
Qualifications
- Associate's or Bachelor's degree preferred.
- Ability to pass Pennsylvania background checks.
- Strong organizational and problem-solving skills.
- Excellent attention to detail and ability to manage multiple priorities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Excel, Google Sheets, Google Workspace, and database systems.
- Ability to work independently and collaboratively in a fast-paced environment.
