The company is seeking a Client Relations Coordinator to help the growing medical spa continue to provide the best client experience possible.
Position Overview:
We are seeking a Client Relations Coordinator who thrives in a fast-paced, client-first environment and understands that the front desk is more than just check-in and check-out—it’s the heartbeat of the business. This role is ideal for someone who loves skincare, enjoys connecting with people, and is motivated by both service and sales.
What You’ll Do:
Responsibilities:
- Create a warm, elevated, and seamless client experience from the moment they walk in
- Handle calls, texts, and online inquiries with professionalism and personality while providing accurate information on our services, products, promotions, and events
- Ensure all inquiries from website, email, and Meta are responded to in a timely manner
- Gather necessary demographic information from patients to create, maintain, and update detailed patient records
- Establish relationships with VIP members and guests to grow and retain a client base
- Register patients, completing check in and check out, and providing forms such as medical history and consent to patients for completion
- Handle confidential patient information in compliance with HIPAA regulations
- Schedule and confirm appointments, manage cancellations, and optimize the provider's calendar for efficiency.
- Assist the Practice Manager and Owner as needed in managing marketing materials, stock, supplies, and completing assigned tasks
- Collaborate with providers with room preparation, and client procedures as needed to ensure exceptional client outcomes
- Driving member retention through outreach via phone and email to current members along with following up with previous patients to ensure patient safety and engagement
- Support retail sales and treatment plan conversions by educating clients on services, memberships, and skincare products
- Comfortable quoting, managing, and processing point-of-sale transactions
- Meeting monthly practice goals while driving sales and patient satisfaction through personal performance
- Maintain a clean, organized, and visually appealing front desk and retail area
- Maintain good housekeeping throughout the spa, including laundry, dusting, sweeping, and stocking as needed.
- Support retail sales and treatment plan conversions by educating clients on services, memberships, and skincare products
- Attend and participate in both onsite and offsite events
What We’re Looking For:
- Previous experience in medical aesthetics, spa, or hospitality (preferred)
- Strong communication and relationship-building skills
- Confidence in recommending services and products (sales or retail experience is a plus)
- Highly organized with the ability to multitask, and work well under pressure in a fast pace environment
- Positive, team-oriented attitude with attention to detail and time management skills
- Friendly, outgoing, and passion for skincare, beauty, and client experience
- Punctual and reliable
- Self-motivated and self-directed
- Ability to focus on accuracy and detail
- Excellent phone presence and communication skills
- Working knowledge or ability to learn Google Chrome applications, scheduling software, and client documentation software.
