We are looking for a full-time Front Office Receptionist who is responsible for supporting both the patient check-in and check-out processes while providing excellent customer service and maintaining efficient patient flow throughout the office. Team members in this role will be cross-trained in both front office positions to ensure flexibility, teamwork, and continuity of operations within the practice.
This position serves as a primary point of contact for patients and is responsible for registration, scheduling, insurance verification, payment collection, referral coordination, and general administrative support.
Essential Duties and Responsibilities
Cross-Training Responsibilities
- Successfully complete training for both check-in and check-out responsibilities
- Maintain flexibility to work in either role based on office needs and staffing
- Demonstrate a working knowledge of front office workflows, scheduling protocols, insurance processes, and payment procedures
- Collaborate with team members to maintain efficient patient flow and office operations
Patient Check-In Responsibilities
- Greet patients and visitors in a professional and courteous manner
- Verify and update patient demographics, insurance information, and identification at each visit
- Ensure all required registration forms, consents, and documentation are completed
- Scan and upload insurance cards, IDs, and patient documents into the EMR
- Verify insurance eligibility and identify referral or authorization requirements when applicable
- Collect co-pays, balances, and other patient payments accurately
- Notify clinical staff of patient arrival and assist with maintaining patient flow
Patient Check-Out Responsibilities
- Review provider instructions and ensure all follow-up needs are addressed before the patient leaves
- Schedule follow-up appointments, annual visits, procedures, imaging, labs, and specialty referrals according to provider instructions and office scheduling guidelines
- Provide patients with visit summaries, work excuses, and orders as needed
- Coordinate referrals and communicate necessary information to patients
- Collect outstanding balances and process payments accurately
Scheduling & Communication
- Answer incoming phone calls promptly and professionally
- Schedule, reschedule, and confirm appointments according to office policies
- Communicate appointment delays, cancellations, or scheduling changes professionally
- Route messages and patient concerns to appropriate staff members
Qualifications
- High school diploma or equivalent required
- Previous medical office, scheduling, or customer service experience (preferred)
- Strong communication, organizational, and multitasking skills
- Ability to work efficiently in a fast-paced environment
- Basic proficiency with computer, phone, and office equipment (required)
