Qualifications
- Exceptional Attention to Detail: A proven ability for accuracy, specifically in data entry and the meticulous management of sensitive physical and digital files.
- Confidentiality & Professionalism: The ability to maintain strict confidentiality of sensitive information and uphold strong professionalism as the first point of contact for new hires.
- Tech Proficiency: Proficient computer skills across Microsoft Office Suite, Google Workspace, and other online administrative tools, with the ability to quickly master new software.
- Interpersonal Excellence: Excellent communication skills with a welcoming, professional, and helpful "first-impressions" mindset.
- Organization & Adaptability: Highly organized with the ability to independently prioritize tasks in a multi-location, fast-paced fitness environment. Comfortable with a flexible schedule that may include occasional evenings or weekends.
Position Status: Part-Time (Approx. 20 hours/week), Non-Exempt. Schedule may include weekends, evenings, and Holidays.
Reports to: HR Administrator
Essential Job Functions
- Serve as the primary point of contact for all new hires, guiding them through the entire onboarding process.
- Facilitate the pre-hiring process, including preparing offer letters, new hire packages, and coordinating all employee setups across internal platforms (Paycom, Club Automation, Google Workspace).
- Ensure new hires successfully complete all required training and can navigate our systems and internal communication tools.
- Maintain a "right the first time" approach to data entry and strictly safeguard the confidentiality of sensitive physical and digital personnel files.
- Track, verify, and maintain records of all mandatory staff training completions (e.g., Harassment Prevention, WVPP, CA Know Your Rights).
- Assist staff with password resets for Paycom and Club Automation.
- Process incoming applications, distributing to hiring managers, conduct reference checks, and prepare/post rejection letters.
- Monitor job post inboxes to provide professional and timely updates to all applicants.
- Process employee "add-ons" and employee referral requests.
- Maintain and update company-wide Phone Extension and Contact lists.
- Provide operational coverage and support the broader HealthSPORT mission by assisting with special projects or operational tasks as needed, occasionally supporting the Service Desk during peak times.
