Medical Office Assistant – Physical Therapy (Growth Opportunity)Overview
Busy outpatient Physical Therapy office seeking a highly organized, detail-oriented Medical Office Assistant to support clinical operations, billing coordination, and marketing initiatives.
This position is 3 days per week (approximately 15 hours) with strong potential to grow into full-time employment with performance-based bonuses.
We utilize an external billing company; therefore, this role focuses on documentation accuracy, authorizations, account follow-up, and revenue flow management.
Customer service skills and professional communication are essential.
Your role is to help ensure we provide excellent patient care while making sure the business gets paid.
Key ResponsibilitiesAdministrative & Billing Support
- Set up and maintain patient charts in our electronic medical record (EMR) system
- Obtain therapy authorizations from physicians, nurse practitioners, and insurance companies
- Communicate with medical offices via phone, email, fax, and occasional office visits
- Prepare and submit accurate documentation to the billing company for reimbursement
- Follow up on outstanding accounts and assist with collections as needed
- Monitor revenue flow and help ensure timely payments
- Maintain accurate patient account records and resolve discrepancies
- Generate reports on billing activities and account status
Marketing & Growth Support
- Assist with local marketing initiatives (physician offices, facilities, community outreach)
- Help manage referral relationships and marketing materials
- Support social media or promotional efforts as needed
- Participate in strategies to grow patient volume
Office & Patient Support
- Assist with general office duties and organization
- Provide excellent customer service to patients and families
- Help maintain a clean and professional clinic environment
- Support therapists with non-clinical patient flow tasks
Requirements
- Strong attention to detail and organizational skills
- Excellent phone communication and professional interpersonal skills
- Ability to multitask in a healthcare environment
- High integrity with confidential patient information
- Basic understanding of medical billing preferred
- Familiarity with EHR systems helpful (training provided)
- Knowledge of ICD-10 coding is a plus (not required)
- Marketing mindset or willingness to learn preferred
Compensation & Schedule
- $15 – $18 per hour (based on experience)
- Part-time: 3 days per week (~15 hours)
